This is a two step project which combines TIMED Auction sale  with and online exhibition afterwards.

The selected artists will be exhibited online and their work will be presented at international auction via Chalkwell auctions. 

TIMED AUCTION

The seleceted works will be listed at our dedicated "Artists on the Rise" (AOTR) auction of contemporary investment art. 

The catalogue of selected works will be published on Chalkwell auctions website approximately 2 weekends before the final date of the auction. They will be open for bidding.

ONLINE EXHIBITION

The selected works will be showcased on www.chinwerussell.com in an online exhibition.

The Exhibition opens approximately 2-5 days after the auction and will run for 3-4 weeks. 

ENTRY FEES

Entry fees are not refundable under any circumstances. 

All entries must have artwork description, Artist statement and bio. 

AUCTION TERMS

All works submitted to us must be original and must be your own creation or that of the artist you represent.

All works submitted for auction must be available for sale on the day of the auction so make sure that this is the case before you submit.

The auction catalogue will be published in advance of the auction day, once the catalogue goes live, you cannot withdraw your work. This is because it costs time and money to prepare the catalogue. If there is any reason why you must withdraw your work, please let us know ahead of time before the auction catalogue is published.

The auction will be featured on social media to announceand sold works will be featured on social media again after the auction has taken place.

IMAGE: Your work will be sold on image alone therefore we need good quality images in jpeg. To give your work the best chance of being sold, ensure that the full image of the work is visible including any frame.

If your work sells, the auctioneer will collect the payment + shipping cost from the buyer and the buyer's address is released to you.

​

You are expected to arrange shipping of the works as soon as you receive the shipping address. If it will take longer to arrange shipping, please contact me to discuss. You will ensure that you use adequate protective packaging when shipping your work. You will also need to use a tracked shipping service.

The Buyer pays the shipping cost.

PAYMENT TO YOU

We will receive payment(price of work+shipping cost) for all works 4-6 weeks after the auction has taken place and we will pay to your bank account/paypal less commission (and transfer fees for artists outside the UK.)

Commission is charged at 30% of the sale value.

Once the auction ends, there is NO POSSIBILITY of chasing after bids that did not meet your reserve price as it will be too late. This is why it is important to price to sell.

AUCTION RESULTS.

 We will let you know the FINAL  results of the auction a day or two after it has taken place.

Please ensure that the image of your work is high quality and in jpeg format. If your work is framed, then your image should clearly show this if possible. Submission does not mean that your work will be accepted for auction. If your work is accepted for auction, then it will appear in the auction catalogue once it has been uploaded.

Restrictions
All entries must be show the full artwork so that the buyers can see the finishing of the work. You should also show the back of the artwork so that the buyer will have a clear idea of what the work looks like. 

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / ~ # + =

We recommend that you upload at least 3 images for each artwork, one showing the full image, a second one showing the back, a third one showing the scale of work. 

Pricing
Work selected for exhibition will be expected to be for sale. Commission is charged by the gallery 30%. It will be assumed that the sale price includes the cost of any frame and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered please provide a VAT number in the box provided. 

Communications
All communication will be by email prefarably.  

Selection
The curator will select the works for the exhibition and auction. The curator will consider all correctly completed submissions. The decision of the curator on all matters is final.

Online Selling
Artists will be responsible for the safe delivery of artworks should an artwork be sold via the online gallery.

Agreement
By submitting to the exhibition you are deemed to accept and agree to the following:
The decision of the Selectors on all matters Is final and no correspondence will be entered into.
I understand that The Organisers reserves the right to make such changes to the exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.
I authorise The Organisers To process, store, and utilise the data in my submission and agree that, if selected for exhibition, images of my work can be freely used by The Organisers, The Gallery and associated organisations for promotional and publicity purposes.
All information provided by me is true and accurate and that the work submitted is wholly of my own creation.
I have read and understood these terms and conditions and by submitting this application I accept and agree to observe all the Terms And Conditions therein.

Terms and Conditions of Entry - 170 Annual Open Exhibition 

Section 1: Basic Entry Requirements

• Public Applicants - A maximum of 3 works may be submitted per applicant. Up to 3 works could be selected for the final show per applicant.
• RWA Academicians - A maximum of 4 works may be submitted by RWA Academicians, and 2 are guaranteed selection. However, if a piece exceeds size requirements (see section 4) the RWA reserves the right to select only 1 work.
• Work cannot have been exhibited previously at the RWA.
• Artists are encouraged to submit recent work (produced within the last 3 years).
• All works must be for sale (with the exception of Moving Image entries).
• Prices should be predominantly under £10,000
• Entries will be capped at 5,000
• All entries are subject to a two-stage selection process, and this year both selection stages will take place online. Artists will be notified after the second stage and selected works will be required to be delivered to the RWA.

Section 2: Cost of Entry

Submission fees are charged per item:

• £21 per item for General Public (£17.50+VAT)
• £15.90 per item for Students (£13.25+VAT)
• £15.90 per item for Friends of the RWA (£13.25+VAT)
• £10.50 per item for RWA Artist Network members (£8.75+VAT)
• Free for RWA Academicians

Section 3: Submitting Work

All Entries

• All submissions must be made online using our Online Exhibition Submission System (OESS) which can be accessed via our website. Please read the OESS user guide located on our website for further assistance. Please note – when you have made your account on OESS keep a record of log in details as you will need them to access your results. Once the selectors have made their decisions it is the artists’ responsibility to log back into OESS and check their results, on results day 22/07/2023.
• All artists must submit one image of each work. This will be viewed online at pre-selection and final selection stages this year, therefore please ensure your images are as clear as possible.
• If the work is 2D we do not need to see the frame in the image.
• If work is 3D, more than one view may be submitted, so long as they are edited into one image.
• Images should be a JPEG or PNG file and should not exceed a maximum size of 5MB. If you have problems uploading your image(s), we recommend editing it to be no more than 1600 pixels in either direction. (Please note PDF’s cannot be uploaded.)
• Please contact the RWA if you cannot access a computer.

Section 4: Medium – Admissible Works

4.1 Two-Dimensional Work

• Two-dimensional work must not exceed 214 x 214cm (7ft x 7ft), including the frame.
• The total size of a diptych or triptych must not exceed 214 x 214cm (7ft x 7ft).
• Diptychs or triptychs must be clearly labelled in large letters on the back of the work.
• Diptychs or triptychs must have one title and can only be sold as one work.

Painting, Drawing and Mixed Media

• Reproductions of paintings and drawings, made by any process, are not eligible. This includes reproduction giclée prints.

Printmaking

• All printmaking techniques are eligible e.g. etching, drypoint, collograph, woodcut, lithograph, screen print, digital and photographic.
• Prints may be unique (one-off) pieces or they may be signed, numbered and a limited edition.
• Digital prints are eligible only if it is clear to the selectors that they are original artworks made by the creative use of digital technology and that they are not reproduction prints.
• Artists are permitted to sell unframed multiples of selected work. Please see Section 12: Sale of Work.

Photography

• Any medium is acceptable, including digital images, photography and photographic processes.

iPad Drawings

• Digital artwork produced on an iPad is accepted but must be printed and displayed appropriately e.g. if it is framed please see Section 6: Frames and Fixings.
• As per Printmaking it must be made clear to the selectors that they are original artworks made by the creative use of digital technology and that they are not reproduction prints.
• The work should be numbered to denote edition size and as per Printmaking entries you must confirm how many multiples are available for sale.
• iPad drawings cannot be displayed on iPads, unless provided by the artist.
• Reproductions of paintings or drawings are ineligible.

4.2 Three-Dimensional Work

Sculpture

• The maximum floor space for sculpture is 1m x 1m (3.3 x 3.3ft).
• Please include any specific display instructions in Special Instructions.
• Artists are permitted to sell multiples of selected work, e.g. bronzes. Please see Section 12: Sale of Work.
• Please note that it may not be possible to display work as requested - although we aim to display work as close to the artist’s specifications as we can, we cannot guarantee that specific plinth sizes, for example, can be met. The curators’ decision is final.
• Sculptures must weigh no more than is safe for two people to lift – 50kg (see details on regional transport for further restrictions).
• The RWA has limited storage space therefore artists may be asked to collect any large / heavy or fragile sculpture that is not hung at the final selection stage before the exhibition opens.
• Please ensure floor- and plinth-based works are stable.
• When submitting sculpture, please consider the health and safety implications of exhibiting work in a public place. Where work is deemed to be a health and safety risk the decision of the RWA is final.

Installation

• Maximum size must adhere to either 2D or 3D requirements (see above).
• Please note that artists are not permitted to set-up installations in advance and must include full instructions for assembly and display with their entry. All installations are assembled and installed by RWA Technicians.
• Installation components must not weigh more than is safe for two people to lift – 50kg (see details on regional transport for further restrictions).
• The RWA has limited storage space therefore artists may be asked to collect any large / heavy or fragile sculpture that is not hung at the final selection stage before the exhibition opens. Please ensure floor- and plinth-based works are stable.
• Please consider the health and safety implications of exhibiting work in a public place. Where work is deemed to be a health and safety risk the decision of the RWA is final.
• Please contact the RWA if you are unsure if your entry adheres to the Terms and Conditions.

4.3 Artist Books

• Artist books are permitted for entry.
• Please include display instructions in Special Instructions if necessary.
• Overall size must adhere to size restrictions.

4.4 Architecture

• Architectural entries can incorporate drawings, photography, digital imagery, sketches and plans as well as architectural models.
• For architectural models size restrictions apply as per sculpture.
• Architects can enter as individuals or as a practice. The maximum number of entries applies in both cases.

4.5 Moving Image   

How to enter Moving Image Works

• Entries should be made online as per entry guidelines.
• Please include a still image with your submission, and, if possible, a URL to YouTube, Vimeo, etc.
• If you are unable to provide an URL please email curating@rwa.org.uk to enquire about sending in a file transfer

Moving Image Regulations

• Moving image works must be a maximum duration of 10 minutes in length.
• Single screen works or single channel works only.
• At this stage of the process we do need your video files, only a URL to your video online, but when it comes to the hand in days, files should be submitted in the following file format: Quicktime Pro. Res. 422 (HD or 1920 x 1080 preferred, aspect ratio 16:9). Files not submitted in this format are not valid. Should you be selected, information of where to send these will be provided.
• Please do not include title screens or credits as part of your file. The RWA will formatthese in adherence to house style using the information you have entered online. Any additional artists/practitioners/funders that you wish to credit on the work label should be included on your entry under ‘Artwork collaboration’.
• Work will be shown on a flat screen 43inch monitor.

Section 5: Works Inadmissible

• Works in frames or on stretchers to which mirror plates cannot be easily fixed.
• Unframed works on paper that are unframed for reasons that are not aesthetic (see Section 6: Frames and Fixings).
• Reproduction prints which are made to accurately reproduce an already created original image such as a painting, drawing or etching.
• Due to installation limitations, we are unable to accept site-specific work entries.
• Work containing offensive material. Please note that the decision of what constitutes offensive material is at the discretion of the RWA.

Section 6: Frames and Fixings

• All framed work will be hung using mirror plates, therefore please ensure your work is suitably framed.
• All fixtures must be removed from the back of framed work prior to delivery as remaining fixtures are one of the primary sources of damage to artworks.
• The RWA will attach all relevant fixings to all placed works for hanging.
• Where a work has a metal frame, the artist must include the original fixings with their entry.
• Unframed work is acceptable where the decision has been made for aesthetic reasons. Please email curating@rwa.org.uk if you would like to check that your framing will be acceptable.
• Unframed work must include clear instructions for display and the artist must provide the relevant fixings with their entry.

Section 7: Labelling Your Work

• Labels must be printed out from your OESS account on thin white card for each piece. This enables us to record that your work has entered the building.
• The label should be securely attached to the work with a thin piece of string, preferably with staples or strong tape. Please do not use thick cord, rope or twine as this makes it difficult to tuck the label behind the work once it has been hung.
• The string should be long enough to hang in front of the work when wall or plinth-mounted.
• The artist’s name, and title of work should also be written clearly on the back of the work.
• The top of abstract works should be clearly marked on the back to show the correct orientation.

Section 8: Delivery and Packaging

• Works should arrive unwrapped. If you are delivering your work in person there will be space to unwrap your work on delivery. Packaging must then be removed from the RWA by the artist.
• Fragile work may remain wrapped in a way that does not obscure the image during selection.
• If your work is particularly large or heavy, please bring another person to assist wherever possible.

Section 9: International Entries

• Artists submitting work from overseas must ensure that all customs paperwork is complete and that return documentation is attached to the work.
• The RWA will not take responsibility for liaising with customs or external couriers, and all fees and duties must be paid in full by the artist.
• Work should be suitably packaged for international transport. Work will not be packaged for return by RWA staff.

Section 10: Transport Costs

• Regional transport from London, Exeter and Penzance will be available to book once selection results are available, these dates will follow but will be before, or on the hand in days.
• If you are arranging a courier from another location, you will need to ensure they deliver the work on our hand in days (Friday 18, Saturday 19, Sunday 20 August 2023, 10am - 4pm) and notify us in advance by emailing curating@rwa.org.uk
• Please note the RWA will not cover any costs associated with the transport of works, including the cost of shipping, import or postage.
• The RWA strongly advises artists against postal submissions and does not accept liability for damages to works whilst in transit or on the premises.
• The RWA will not pack and label work for collection by couriers.

Section 11: Confirmation of Results

• It is the artist’s responsibility to check their results online.
• The RWA does NOT send emails confirming results.
• The RWA is not responsible for an artist’s failure to receive results.

Section 12: Sale of Work

Exhibited Artwork

• Selling prices must be rounded to the nearest pound.
• The price stated on your submission is the catalogue selling price and this must include the RWA’s commission of 35%+VAT (totalling 42%).
• The information you enter online will be used in all pricing documents. Once the online submissions software has been locked this information cannot be changed. Therefore please ensure this information is correct at the time of submission.
• Artists will be advised of sales, and payment to the artist will be made usually within a month of the sale provided that full payment has been received from the purchaser.
• If an artwork is purchased through the Own Art scheme then please note that payment will be made within 28 days of the end of the exhibition.

Multiples of Exhibited Artwork

• Selling prices must be rounded to the nearest pound.
• All multiples of prints are sold unframed. Please ensure the price entered reflects this.
• The price stated on your submission is the catalogue selling price and this must include the RWA’s commission of 35%+VAT (totalling 42%).
• The information you enter online will be used in all pricing documents. Once the online submissions software has been locked this information cannot be changed. Therefore please ensure this information is correct at the time of submission.
• Artists will be informed of orders for unframed prints and sculpture multiples via email once payment is received by the RWA.
• Payment to the artist will be made usually within a month of the sale provided that the work has been posted.
• It is the artist’s responsibility to mail/deliver the work to the purchaser within 2 weeks of notification email.
• The artist is responsible for all postage or delivery costs, so please factor this in when pricing your editions.
• Unframed digital prints can only be sold if the exhibited work is a digital print.
• The sale of giclée prints of original artwork is not permitted.

Section 13: Collecting Your Work

• Work can be collected from the RWA in early January 2024, exact dates to follow
• In order to collect your work please bring with you a form of ID.
• If a third party is collecting work on your behalf, they must bring this with them or a letter or email saying they have permission to collect the work. Work will not be released without this authority.
• Unsold works that have not been collected by mid January 2024, exact date to be confirmed, will incur a storage charge of £15 per work per week.
• If any work submitted has not been collected within 3 months after the closing date the RWA shall be entitled to, without prior notice to the artist, sell or otherwise dispose of such works and to devote the proceeds of such sale or other disposition as it may think fit in its absolute discretion.
• Please see Section 3. Medium – Sculpture reference separate deadlines for collection of large sculpture.
• If you have arranged for a courier to collect your work, you must email the RWA at least one week in advance at curating@rwa.org.uk with details of the collection.

Section 14: Insurance and Damage to Work

• Exhibitors are responsible for arranging their own insurance to cover damage or loss to their artwork either in transit or whilst at the Academy.
• Work must be insured by the artist from the point of collection if you are using regional transport.
• The utmost care will be taken of all works sent in for exhibition, however neither the Academy, its officers nor its representatives will be responsible for any loss or damage whilst the works are in their possession howsoever caused, with the exception of damage to or theft of exhibited works whilst on public display which has been recorded on CCTV.

Section 15: Copyright

• Copyright remains with the artist; however, by registering online and agreeing to the terms and conditions the artist agrees that his/her work can be used for the promotion of the RWA and its exhibitions.

Section 16: Withdrawal of entry

• Entries can be withdrawn any point up to the submission deadline and will be eligible for a refund.
• It is the artist’s responsibility to contact the RWA to arrange the withdrawal of their submission and payment of refund.
• Refunds are not permittedbeyond the submission deadline, therefore pleaseensure your work meets the RWA entrycriteria before submitting.

General Information
Our Annual Printmaking Open Competition shines a spotlight on all the different printmaking techniques both traditional and modern and allow us to celebrate the very best in printmaking today.  All successful applicants will be included in a 10-week Exhibition located at our beautiful gallery built in the 1890s by the Coalbrookdale company (founded by Abraham Darby), located in the Ironbridge UNESCO World Heritage site. All exhibiting artists will also be automatically included in a virtual exhibition.
 

Eligibility
Submissions of work are invited from printmakers working in Woodcut, Engraving, Drypoint, Collagraph, Aquatint, Monotype, Etching, Lithograph, Screen Print, Photogravure, Linocut, Mezzotint, Viscosity Printing, and Jelly Printing.

Pricing
Work selected for exhibition will be expected to be for sale. 40% Commission is charged by the gallery. It will be assumed that the sale price includes the cost of any frame and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered, please provide a VAT number in the box provided. 
 

Communications
All communication will be by email or via the online login process. Applicants will be required to log in to see if they have been pre-selected and will be asked to download and print their application details to be delivered with the artwork. Failure to do so could result in work being withdrawn from the exhibition. 
 

Selection
The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into.
 

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be displayed entirely at the artists' risk and organisers and the gallery will not accept liability for loss or damage occurring during the exhibition, storage, or transit.

Delivery and Collection
Artists are responsible for the delivery and collection of their work at the Gallery. All packaging materials must be removed after delivery (no gallery storage is available for this) and brought back at collection. If you are applying from overseas, please consider how you will get your work to and from the exhibition at the required times.
Work not collected at the stated times will be subject to a daily charge of £10 and will be disposed of after one week. 

Labels
Artists must download a completed application form and completed labels from OList Login to attach to their selected artworks when delivering artworks

Can the application be completed by a 3rd party?
Applications can be completed by a third party however you must have the artist's permission and the Artist must still be alive.

Does a Tryptic/diptych count as a single entry? 
Yes, diptych and triptychs can be entered as a single entry. For the image of the work submitted please ensure this shows the full piece not just a single part. If work is selected for exhibition/competition finalist then please provide a diagram along with the artwork showing the hanging order for our curation team.

Are Giclee Prints of Fine Art Reproductions accepted?
All work must be the Original work and not a Fine Art Reproduction, Giclee Prints, or Photographs.

Helpful Hints for photographing your Artwork.

• We highly recommend having your work scanned to create a high-resolution digital file for entering the competition.

If photographing your artwork: 

• Photos can be taken framed or unframed however photos are best taken prior to any glazing to avoid reflection
• Avoid harsh and bright lights that wash the workout or cause shadows and distort the image. Natural daylight works the best; try placing your work next to an open doorway
• Always photograph the work straight on and in perspective such as standing above the work and looking squarely at the work. Do not submit images of work with a distorted perspective as this does not give a clear or true representation of the work.
• Use a tripod with your camera to stabilise the image and avoid movement/blurring of the image.
• Do not manipulate or edit the photos – If work is digitally enhanced it is not a true representation of your work. If it is apparent that work has been manipulated digitally compared to viewing the original Artwork it may be refused from the biennale and entrance fees will not be refunded.

What type of file can be uploaded and what size should it be?

The image uploaded must be either a JPEG file or PNG and must be between 1 and 4 MB

Is there a maximum Artwork size and does this include the frame?

The maximum Artwork size accepted is 50cm x 50cm (including the frame). The image dimensions entered in your application must be the final frame size including Height, Width, and Depth.

Will the work be shown online as well as in the physical exhibition?

All successful work will be shown online in a virtual exhibition as well as the physical exhibition. 

Can extra or alternative work be handed in for the exhibition?

No only work that has been submitted and successfully accepted can be given for the exhibition, we cannot take any alternatives or additional pieces.

Framing Stipulations

The work must be framed to a minimum of Level 2 Conservation level using a minimum Level 2 conservation level materials and processes – to find a Fine Art Trade Guild-approved framer you can visit https://www.fineart.co.uk . Frames must be free from bits under glass, blemishes, dinks or marks. Framing fixtures must be D-rings and cord, strap hangers, or Mirror plates. The gallery curators can change these fittings so they are fit for purpose and you may not get the original fittings back.

General Information
The exhibition will be held at Ulster Museum, Stranmillis, Belfast and will be open to the public from October 2023 to January 2024 (exact dates to be confirmed when available)

Eligibility
Submissions of work are invited from visual artists working in any medium. 
Anyone over the age of 18 can submit work.  There is no maximum age limit. 
No member of the Selection Committee may enter work for selection for the Annual Exhibition.
Work entered to the exhibition must have been created between 2021 and 2023. 
Work previously exhibited in Northern Ireland will not be accepted. The RUA reserves the right to reject work that they believe may be in breach of copyright. 

Restrictions
All entries must be less than 2 meters in any one direction including frame. There is no minimum size limit. The maximum size of artwork in its largest dimension including framing is 200cm. The overall size of diptychs, triptychs, etc. must adhere to this maximum size limit. 

Hangings, Fixings & Attachments
The Ulster Museum has its own hanging system therefore ALL HANGINGS, FIXINGS AND ATTACHMENTS MUST BE REMOVED BEFORE DELIVERY OF SHORTLISTED WORK

Pricing

Online Selling
If 'Online Selling' is used and artworks are not delivered to the gallery, artists will be responsible for the safe delivery of artworks should an artwork be sold via the online gallery.
If a buyer makes a purchase via the online gallery the organisers will contact the artist and buyer to determine if there are additional postage and handling charges that need to be charged to the buyer.

Agreement

Please note works which do not conform to the size restrictions, overly heavy pieces or pieces that the Organisers deem unsuitable for exhibition may face possible rejection. 

Work must be professionally presented for exhibition. All artworks must be presented with complete mechanisms for hanging. 

Exposed wet canvases or works that could cause damage to others will not be accepted under any circumstances. Work that arrives damaged or unfit for exhibition due to any material defect will be automatically deemed ineligible for exhibition.

Eligibility

• Any artist over 18 may submit.
• Subject matter must be essentially marine in nature, relating in some way to tidal waters of the world; topographical, historical, still life, and figure painting are all welcomed. Works relating to non-tidal rivers, inland lakes and waterways etc are not permissible.
• Acceptable media: Oil, acrylic, watercolour, original prints of any media, mixed media, drawings, pastels, or sculpture.
• Maximum of six works submitted, maximum of four works selected.
• Works should be no larger than 2.4m along the longest dimension.
• All work must be for sale. The price of works must include commission of 45%+VAT (please note that where foundry fees apply, foundry costs will be deducted before commission is calculated).
• Minimum price: £600, except for prints - framed £325, unframed £200 (buyers will not be charged for postage and packaging of unframed prints, so please ensure the price of unframed prints allows for this).
• Works may be from a limited edition not exceeding fifty.
• Artists are strongly urged to submit new work not previously exhibited.
• The Society advises the use of plain, simple framing in a light or medium colour. Frames and mounts of an unusual colour, size or design may prejudice the chance of acceptance. The following are inadmissible: metal frames, unprotected glass edges and clip frames.
• Frames or stretchers should be sufficiently substantial to withstand mirror plating with 12mm size 6 screws.
• Works that are poorly presented or differ significantly from the photograph entered will not be exhibited.

Entry Fee

• The submission fee is £20 per work for standard entries and £14 per work for artists aged 35 or under.

Delivery & Collection

• Packaging from delivered works cannot be retained and must be taken away at the point of delivery.
• Works should be delivered without hanging fittings.
• We are unable to wrap works or provide wrapping materials for any works being returned.
• Any work uncollected on the specified collection date/s will be stored at a separate location and the artist will be charged a storage fee.
• Paintings should be completely dry at the time of delivery.

Selection

• The Selection Committee is formed of artist members of the Society and is rotated annually.
• Please note that selectors' decisions are final and we are unable to offer feedback.

International Entrants

• If you are not a UK resident and your work is sold at the exhibition you have a responsibility to register and account for UK VAT with H.M. Revenue & Customs at www.hmrc.gov.uk (HM Revenue & Customs Reference: Notice 700/1).

General Information
The exhibition will be held at the Mall Galleries, The Mall, St. James, London SW1.

Eligibility
Submissions of work are invited from visual artists working in any medium which demonstrate evidence of drawing.

Artwork Types
The SGFA exists to promote fine art drawing skills, to this end the selection committee will be looking for strong evidence of drawing in the work submitted.

Work that is eligible for submission includes: Drawings in any medium, monochrome or colour - pencil, coloured pens and pencils, pen and ink, pastels and oil pastels, charcoal, conté, etc. Any work based on photographs must have the photographer's permission.

Size of Pictures based on outside frame measurements:
Pictures up to 65 cm x 65 cm count as 1 work = £20.
Pictures between 65 cm x 1.30 m count as 2 works = £40 (largest dimension)
Pictures over this size count as 3 works = £60 and are at the Council's discretion.
Please select the entry number accordingly at the start of the entry process to make the correct payment. Oversized artworks submitted with incorrect payment will not be hung.

Any original artwork which demonstrates evidence of drawing by hand: - original printmaking, watercolours, acrylics, oils and 3-Dimensional work.

Restrictions
Work that is NOT eligible includes:

Digital imagery generated by computer.

Giclee prints and all other reproductions and facsimiles.

Work shown previously at Mall Galleries.

Work that is more than three years old.

Any work that might infringe on copyright law or is an identifiable reproduction of another’s composition (regardless of media) even with copyright waiver, or if the permission of the artist has been obtained.

All work must be for sale.

Pricing for framed work must observe minimum prices: Paintings and drawings £300; edition prints £180

Instructions for selected framed work

All framed work must be presented unpacked, labelled and ready for hanging.

Work must be labelled on the back in BLOCK CAPITALS with: Name of Artist, Title, Medium, Price.

Framing must be robust and sealed.

No hooks are required. Works should be sufficient to withstand mirror plating for hanging purposes. There should be no projections whatsoever from the back or front of the works. This is to prevent damage to other works.

Metal frames and clip frames are inadmissible. Elaborate framing and/or coloured mounts are not acceptable.

All framing must be of a professional standard and without damage.

The SGFA reserves the right to reject any work which has framing unsuitable for hanging, or is presented in an unacceptable condition.

• 2D work should not exceed 1.5m in any direction, including frame.  
• 3D work should be portable by one person and not exceed 1.5m in any direction.  
• Electronically powered work should be submitted with written evidence that the work has been PAT tested.  
• Film should not exceed 5 minutes running time.  

Work submitted must be original and the artist must undertake that they hold all moral and intellectual property rights in that work and that the work does not infringe the moral and intellectual property rights belonging to any third party.

ARTWORK DETAILS 
Artists may submit up to TWO works in any size and in any fine art media.  
All works submitted for exhibition are considered by the Annual Exhibition Hanging Committee whose decision to accept or reject is final. Feedback is not provided on individual submissions and the panel will not enter into discussions nor make any exceptions on the final selection.  
No reproductions of original work and no works that have previously been exhibited at the RSA, or any other exhibition in the RSA building, can be submitted. Artwork, including editioned work, cannot be included in any other exhibition during the opening dates of this exhibition. This includes in virtual exhibitions.   
Applications should be from living artists and works must have been completed in the last 6 years. 
Applied art is not accepted. No work made from ivory or in any way involving the use of ivory will be accepted.

PHYSICAL AND VIRTUAL
Building on the success of the online experience during COVID-19, which enabled more works to be selected and extended the ways for audiences to discover and engage with artworks, all pre-selected works will automatically be included in the online exhibition. As usual, only those selected at the final physical selection will be shown on the gallery walls.  
There is also the opportunity to submit work as a solely online presentation by answering YES to 'My work is solely an online presentation' during the application process. These works will only be considered for online selection and open up an opportunity for more experimental practices, for example documentation of installed site-specific work or extended digital video content.

ONLINE APPLICATION 
Deadline: Sunday 26 February 2023, 5pm 
Artists must register and submit their work online at www.royalscottishacademy.oess1.uk. 
Applications must be completed before the deadline. After this date you will not be able to make changes to your online submission and new entries will not be accepted. Please remember your log in details!  
ONE image per work is required, however up to three images showing different angles can be submitted. Please provide good quality images that will do justice to your work and that adhere to the specifications noted on the OESS submission site. We recommend JPEG or PNG files of at least 1MB in size and no larger than 5MB.   
 

An entry fee (inclusive of VAT) is required for each work:  
Artists £20 per work / Students & under 26s £10 per work 
Payment is made online during the application process by debit or credit card. Submissions will not be accepted without payment and refunds will not be offered for work not selected or handed in or applications not completed by the deadline.  
Each work included in the final exhibition is also subject to a £10 hanging fee to be paid by Paypal at Pre-selection or on delivery of the work in cash. Any works not included in the final physical selection will be refunded this hanging fee and works submitted as online only will not be asked to pay this fee. 

SELECTION & HAND IN 
Pre-selection results: Friday 24 March 2023, from midday 
Artists must log back into their account on the submission site from 24 March to find out if works have been pre-selected. A notification email will not be sent out and it is the artist responsibility to log in and check on the day.   

Hand in for pre-selected work: Thursday 20, Friday 21, Saturday 22 April, 10am – 4.30pm
Pre-selected works must be delivered to the rear door of the Royal Scottish Academy, The Mound, Edinburgh, EH2 2EL. Artists may not hand in different or substitute works to those that have been pre-selected. Works must be unwrapped before handing to RSA staff and all packing must be removed from the gallery. Work will not be received out with the stated hours.  
Due to extremely limited vehicle access to the building, arrivals must be staggered and times strictly adhered to. A schedule will be sent out to all pre-selected artists to book a delivery slot.  

Final selection notification: Wednesday 26 April 2023, from midday 
Artists must log into their account to find out if work has been included in the final hang. If your work has not been selected for the physical exhibition it will still be included online and you will not need to collect it until the end of the exhibition (see dates below), with the exception of large or fragile works which we may request collection of due to space restrictions and safety. 
No installed work, once placed, can be removed until the close of the exhibition without a special order from the RSA Council.  

Labels 
Artwork labels will be posted to pre-selected artists and will also be available at the RSA on hand-in days.  
Labels should be SECURELY attached to each work with string which is taped or stapled to the back of the work. The string should be long enough for the label to hang over the front of the work. For sculptures or unusually shaped works please affix the label in the most convenient way possible.  
Each label is in three sections - A, B and ARTIST RECEIPT - all of which must be completed in full in BLOCK CAPITALS. A permanent label or other identification should also be affixed to the back of each work and, if possible, to each piece of sculpture, giving the artist’s name, title of work and price.  
Failure to comply with these requirements in full can lead to rejection of the work.  

COLLECTION OF UNSOLD WORK 
Collection: Thursday 15, Friday 16, Saturday 17 June 2023, 10am – 4.30pm  
We have no storage at the RSA and a very quick changeover of exhibitions, therefore it is extremely important that artists uplift their works on the dates given. 
Any works not collected will incur a storage fee to be paid by the artist. After TWO WEEKS the work will become property of the RSA and may subsequently be disposed of. By completing the online registration process, the artist accepts this condition as a binding agreement whereby ownership of the uncollected works is relinquished and transferred absolutely to the RSA. 

DELIVERY & COLLECTION  
If you are unable to hand in your work in person you can arrange for an agent or courier to deliver/collect on your behalf on the stated collection days. It is the artists’ responsibility to source a courier and make arrangements directly with them. Below is a list of couriers who may be available. Please note, the RSA is not affiliated with any couriers and cannot confirm their availability. Many other couriers are available.

It is the artists responsibility to organise and pay for all shipping, declare the artwork on an international postage customs declaration form and pay any customs costs your country may impose. This also applies to return shipping.  
The RSA will not be responsible for any damage sustained to work while in transit to or from the gallery and we recommend the artist arrange suitable insurance. 

FRAMING AND GLAZING 
Framed and unframed works are accepted. Frames must have no hanging mechanisms attached when delivered, unless integral to the work. All wall based work will be mirror plated by the RSA hanging team. Works which cannot be mirror plated must be delivered with instructions for hanging and any specialist fittings that their weight or particular materials require. Work with inadequate or unstable frames may be rejected on these grounds. Clip frames will not be accepted. 
Unframed paper works must come with hanging instructions and are submitted at the artists own risk.  

PRINTS 
Original prints are encouraged; however reproductions of existing artworks in other media will not be accepted.  
If further works from an edition are available, the framed and unframed price and number available for sale should be noted on the online application form.  

SCULPTURE/3D WORK 
Plinths/shelves for sculptures must be supplied with the work on the hand in days or the work will be rejected. Plinths must be stable and an appropriate size for the work. The RSA reserves the right to paint plinths unless expressly prohibited by the artist. Works whose stability, materials or method of construction could present a hazard to the viewing public may be rejected on these grounds.  
Works with moving parts or utilising electrical/mechanical elements must comply with health and safety regulations and be PAT tested.  
A composite work must be accompanied by clear instructions for assembly and all parts must be clearly labelled. 

ELECTRONIC MEDIA 
For the purpose of selection, artists working in film or digital media should submit a link to Vimeo, YouTube, or other suitable website during the submission process for the selection panel to view their work online. A still image must also be submitted as a holding image for the application process. 
Pre-selected artists must supply all AV equipment (plus plinths/shelves as necessary) with set up instructions for the exhibition unless otherwise stated by the RSA. All equipment must be PAT tested. 
The RSA reserves the right to display selected film work on a showreel for the exhibition. 

SALE OF WORK 
All works should be for sale (exceptions may be made for installation and film work).  
All sales made from the exhibition are subject to 40% commission + VAT (charged on the amount of commission only). Artists registered for VAT must enter their VAT number on the online submission form and sales will then be subject to 40% commission including VAT.  
The price of work shown on the online submission form and labels is the total price payable by the purchaser, the RSA will not add on commission costs for you.  
Where editions of works (prints, sculptural casts, etc.) are available for sale, artists must enter the appropriate information (framed and unframed prices, number in edition, number available for sale) on the online submission form. The artist must arrange for the framing and delivery of any additional framed prints sold (the RSA will not charge commission on the framing premium).  
Any private sale of the work (including editions) must immediately be intimated to the Gallery Manager, otherwise a sale made through the RSA shall have precedence. No editions of works should be sent by the artist to a purchaser until the RSA has confirmed that the price has been paid in full. In addition, any private sale made out with, but as a direct result of, the exhibition should also be acknowledged, whereupon the relevant commission will be charged.  

COPYRIGHT 
Under the Copyright, Designs and Patents Act 1988 it is the general rule that in the absence of any agreement to the contrary, copyright of a work of art belongs to the artist or his/her/their heirs and assigns. By submitting work, unless contacted by the artist in writing to say otherwise, the artist grants the RSA permission to photograph and/or film the submitted works for press and marketing purposes, including the right to free reproduction in any catalogue, poster, website or other non-commercial promotional material in connection with the exhibition.  

CARE OF WORKS
If a work is lost, damaged or destroyed during the exhibition period, the RSA shall notify the artist immediately and shall be liable to pay the artist the agreed selling price less the agreed commission. Works shall be insured whilst at the RSA premises only. No insurance cover will be given to works while in transit to or from the RSA or after the stated collection dates.   
Fragile works must be appropriately labelled and unframed mounted prints/photography must come with corner protectors. Unframed 2D works and works of a temporary or ephemeral nature will remain at the risk of the artist and will not be covered by insurance. Works will be assessed for condition on delivery to the galleries.

General Information
The exhibition will be held at the Royal Hibernian Academy of Arts, 15 Ely Place, Dublin 2 from 22 May to 30 July 2023 (all dates subject to change).

Eligibility
Submissions of work are invited from visual artists working in paint, photography, sculpture, architecture, print, drawing and mixed media. Works outside these categories are not accepted.

Submission Procedure
Submission is by online entry only. Entries are selected from the digital application (stage1) with successful artists asked to deliver work to RHA for further consideration and possible inclusion in the exhibition (stage 2). Artists are asked to check their accounts for decisions on the dates listed.

Pricing
All work selected for exhibition will be expected to be for sale with the exception of portraits. A commission of 35% is charged by the gallery. It will be assumed that the sale price includes all your costs and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable.  

Communications
All communication will be via the online login process. Applicants will be required to login to see if they have been pre-selected and will be asked to download and print their application labels and details to be delivered with the artwork. Failure to do so could result in work being withdrawn from the exhibition. 

Selection
The selection committee is made up of six members of the Council of the RHA. Artworks are presented anonymously and judged solely on merit. The decision is final and binding and no correspondence or feedback will be entered into under any circumstance. 

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be transported entirely at the artists' risk and organisers and the gallery will not accept liability for loss or damage occurring during travel to the exhibition or the selection process.

Delivery & Collection

All works handed in for selection must be:

• Unwrapped
• Professionally presented (needing no further work, additions or framing prior to exhibition)
• Labelled correctly
• Not of undue size (work over 150 x 150cm are only considered in exceptional circumstances)

Works that are of a delicate or fragile nature can be delivered wrapped but must be clearly marked with additional labels on the packaging. The organisers may ask that work is unwrapped should it not be necessary.

Each artwork must have both a tie on and stick on label. Both labels are used during selection. Please ensure that the label information matches the information at the time to entry.  It is important that all details are included on the form, as incomplete details will deem the entry inadmissible.  All works will be checked on entry so please make sure your information is correct.

We accept work from outside the EU. However, you must ensure that your work reaches us on the designated days and is customs compliant. The RHA will not pay customs charges, duty or any associated charges on works arriving by courier. It is the artist’s responsibility to ensure that the work is correctly packaged, as the RHA will not accept responsibility for work damaged in transit or by any third parties. 

Unselected works from stage 2 must be collected on the designated days. If an artist is unable to collect on these days, we ask that you ask someone to collect on your behalf. Works not collected by the end of August 2023 will be liable for a storage charge. Works not collected by end of September 2023 will be disposed of. 

TERMS AND CONDITIONS OF ENTRY

7.1 It would be advantageous for the work not to have been exhibited in Dublin before.

7.2 The RHA reserves the right to reject work that it believes is in breach of copyright laws.

7.3 Work must be professionally presented for exhibition. All artworks must be presented with complete mechanisms for hanging. Exposed wet canvases or works that could cause damage to others will not be accepted under any circumstances. Work that arrives damaged or unfit for exhibition due to any material defect will be automatically deemed ineligible for exhibition.

7.4 All works must be marked for sale with the exception of portraits.

7.5 All 2D work should be no more than 150cms in any direction. There is no limitation for sculpture dimensions.

7.6 A price for framed work for artwork with editions, e.g. photography, must be included for the catalogue and online sales platform. There is not an unframed sales option for editions. 

7.5 Artist sending works from outside the EU are responsible for payment of any associated duties or taxes. The RHA will not be responsible for resolving any customs issues that may occur.

7.6 The upmost care will be taken of all works submitted for exhibition. The RHA will not be responsible for any damage, loss of or destruction of any works for any reason whatsoever. Artists should insure their works against all risks. Works are insured when accepted to the exhibition and condition checked by the gallery.

7.7 In order to meet deadlines, incomplete applications will not be accepted. The RHA will not be responsible for any errors or omissions in the catalogue. The RHA will not be liable for any loss arising out of any error, omission or decision made by the committee.

7.8 Work not collected from the RHA on the designated days will be liable to a storage charge or disposed of.

7.9 The artist allows the RHA to use images of any artwork for publicity and public engagement purposes only. This includes television, print (catalogue, newspapers, trade publications), website (RHA and others), social media (RHA and others) and any other method that the RHA deems fit for purpose.

7.10 No work may be removed from the exhibition until after the close of the exhibition.

7.11 Sold work is marked with a red dot. The RHA will not be liable for any loss arising out of the failure by a purchaser to complete a sale or the mis-marking of any piece sold. 35% commission from the listed catalogue price will be deducted from all works sold during the exhibition. Artists will be paid after the close of the exhibition and only if the RHA has been fully paid by the buyer.

7.12 The RHA will not undertake the wrapping, crating and packing of any artworks.

7.13 For awards with age constraints, the artist must be below or the relevant age on the date of submission in order to qualify, in this case 26 February 2023.

Agreement
By submitting to the exhibition you are deemed to accept and agree to the following:
The decision of the Selectors on all matters Is final and no correspondence will be entered into.
I understand that The Organisers reserves the right to make such changes to the exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.
I authorise The Organisers To process, store, and utilise the data in my submission and agree that, if selected for exhibition, images of my work can be freely used by The Organisers, The Gallery and associated organisations for promotional and publicity purposes.
All information provided by me is true and accurate and that the work submitted is wholly of my own creation.
I have read and understood these terms and conditions and by submitting this application I accept and agree to observe all the Terms And Conditions therein.

Eligibility

• Any artist over 18 may submit.
• Acceptable media: Paintings, drawings, pastels, original framed prints (excluding photography). Note that sculpture is not admissible.
• Work must have been completed in the last two years and must not have been previously exhibited in London.
• Maximum of six works submitted. Maximum of three works selected.
• Works should not be larger than 2.4m along the longest dimension.
• All work must be for sale.
• Minimum price: £300 (£180 for framed prints, £120 for unframed prints - buyers will not be charged for postage and packaging of unframed prints, so please ensure the price of unframed prints allows for this).
• The price of works must include 45%+VAT commission.

Entry Fee

• The submission fee is £20 per work for standard entries and £14 per work for artists aged 35 or under. This includes free admission to the exhibition (normally £5).

Delivery & Collection

• Packaging from delivered works cannot be retained and must be taken away at the point of delivery.
• Paintings should be completely dry at the time of delivery.
• We are unable to wrap works or provide wrapping materials for any works being returned.
• Any work uncollected on the specified collection date/s will be stored at a separate location and the artist will be charged a storage fee.

Selection

• The Selection Committee is formed of artist members of the New English Art Club.
• Selectors' decisions are final and we are unable to offer feedback.

International Entrants

• All international submissions will be online only; artists will need to ship their work if selected for the exhibition only.
• If you are not a UK resident and your work is sold at the exhibition you have a responsibility to register and account for UK VAT with H.M. Revenue & Customs at www.hmrc.gov.uk (HM Revenue & Customs Reference: Notice 700/1).

HOW TO APPLY TO EXHIBIT AT THE SWA 162nd EXHIBITION

Information for MEMBERS and NON MEMBERS

Submission Procedure -

Submissions for selection to the 2023 exhibition will be open from the 20th December 2022 to the 14th March 2023. Submission will only be accepted digitally via https://societyofwomenartists.oess1.uk.

This year the whole selection process will be on line. There will be no physical selection.*

NOTIFICATION OF FINAL RESULTS  To find out if you have been successful you will need to visit the SWA website on the 27th March 2023. 

Successfully selected works need to be delivered to the Mall Galleries, 17 Carlton House Terrace on the 26th and 27th May 2023. All works must have a label on the back securely attached by glue or tape. 

Submitting digitally enables artists to submit works without transport and framing costs unless selected.

Works delivered for selection must be exhibition ready, but with no fixings at all to the back because fixings damage other works when stacked. Please read our updated terms and conditions before submitting. 

Very Important! Please note the information you enter on the online submissions site will, if you are successful, be used for the catalogue entry and labels so please fill this in carefully. Amends requested after selection will incur an administrative fee that the artist will be liable for.

Please ensure you add your DOB if you are applying as a Young Artists (18-35 years at time of exhibition) categories. There are specific awards for this group.

*The council reserves the right not to hang any works that are poorly framed, do not adhere to framing and glazing instruction or where the image submitted is not a true reflection of the actual work or if the work has been changed since the image was submitted.

GENERAL TERMS & CONDITIONS FOR SUBMITTING WORK FOR SWA OPEN EXHIBITION

These conditions apply to all exhibitions administered by the Exhibition Administrators. The term ‘Exhibition Administrators’ means The Society of Women Artists Ltd.

1. Submission Procedure - Artwork can be submitted at https://societyofwomenartists.oess1.uk. from the 20th of December 2022 to the 14th of March 2023. Once you have completed your application, you will see a notification of this on screen. 
You will need to re-visit the SWA website on or after the 27th March 2023 to see if you have been selected for this year's exhibition.

There is strictly no parking on the Mall to deliver works via the gallery entrance.
All works must be delivered via the office entrance at the above address. There is a small forecourt that drivers may use while dropping off their work.
All works must have a label on the back (attached by glue or tape).
Packaging must be taken away once work has been delivered due to limited storage facilities.

2. Imagery - The quality of the images uploaded are integral to work being selected because these are the images that will be used in the online Exhibition. Please ensure the images are sharp and cropped appropriately. Image files should be JPG or PNG and no larger than 5MB. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images, please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. 3. Submission fee - Submission fee for non-members is £18 per work, irrespective of size or medium, to be paid at the time of submission. Young artists (age 18-35 years at time of exhibition) submission fee is £9 per work and members entry is free.

4. Number of works & Membership - Up to 6 works may be submitted but a maximum of four works can be displayed. If you wish to be considered for associate membership or full membership you must enter 6 artworks.

5.  Frames, Presentation and Sizes Frames and mounts must be of good quality and complement the work. Works on canvas do not need to be framed as long as they are neat and exhibition ready, which means presentable and finished. If work is glazed, glass should be non-reflective picture glass. Glazing that is reflective can spoil the overall look of the work and exhibition as a whole. Perspex is inadmissible. Metal or clip frames are inadmissible. Please do not attach any fixings to the back of your frame. Mall Gallery technicians will attach mirror plates for you.

Size - There will be a maximum submission size for paintings and sculpture this year of 200cm.

6.  Eligible Mediums - Categories of work which are acceptable: painting, pastels, drawing, mixed media, sculpture (in all media), ceramics, glass and metal not of a utilitarian nature, fine art printing methods accepted (not giclee or large volume print methods). Photography not accepted. Original unique printing is acceptable, Etchings must show their plate indentations. Commercially printed line work or photographically/digitally reproduced work printed with commercial machines (such as giclée work) is not admissible.

7. NOTIFICATION OF RESULTS -  All work will go through digital selection. All works will be judged by merit. Artists will be able to find the results of final selection on the SWA website on the 27th of March 2023.  Successful entries will need to be handed in at 17 Carlton House Terrace, for inclusion to the exhibition.

8. Sale Price & Commission - The price of works supplied by the artist should include the commission of 45% for non-members and 40% for members. On the BCN Charity evening the SWA will be donating 5% of the sale price to the Charity Breast Cancer Now. All work must be for sale, except by prior consent from the SWA. Minimum Sale prices for works: £350, and £150 for etchings or lithography or drawings, £200 for 3D works. The aforementioned is also applicable on commissioned work arranged through the Exhibition Administrators. Any sale effected by the Exhibition Administrators will have priority over a sale effected by the artist. Please note that artists liable to VAT are responsible for paying their own tax.

Once work has been submitted to the SWA, any sale effected by the Exhibition Administrators before or during the course of the exhibition shall take precedence and supersede a sale made privately. Any private sale will incur the normal commission.

​

9. VAT Registration for Artists Not Resident in the UK - Our open exhibition is open to artists in the UK, EU, and outside the EU. Artists who are not resident in the UK have a responsibility to register for UK VAT with H.M. Revenue & Customs.  

Artists without a UK residence are classified as Non-Established Taxable Persons (NETPs) and must register with HMRC (HM Revenue + Customs) for a UK VAT number before they can exhibit artworks in our Online Exhibition. A valid UK VAT number is prefaced with the letters “GB” 

We will not accept VAT numbers from other countries

You must enter the retail price of your artwork when entering online but you can wait to see if your artwork is accepted before you register for a UK VAT number.

If you are eligible for UK VAT you must provide us with your UK VAT number before the exhibition. If you do not, we will not be able to enter your selected artwork(s) into the exhibition.

NB. An application for a VAT number should take around 30 working days, although the process may take longer, so make sure you allow enough time.

10.  Commercial carriers - can be used to deliver works to buyers where necessary, please see the list of trusted experienced carriers below. These are not part of the SWA and must be contacted and dealt with directly.

11.  Press Photographs - Unless otherwise stated in writing by the artist, it will be assumed that works exhibited may be used for Press purposes in connection with the Exhibition.

12.  Copyright -  The copyright of all works, other than commissioned work, remains the property of the artist. Any enquiries for copyright will be referred to the artist.

13.  Sales of Work and Notification - All work accepted and included must be exclusive to the SWA for the duration of the exhibition. If the work is sold through another platform or by the artists during the exhibition the SWA's commission will still be payable.  If work in the Exhibition is sold, exhibitors will be notified by email as soon as possible (always before the close of the exhibition).

14.  Invitations and flyers - Digital invitations or flyers and a press release will be emailed to all selected artists to forward to buyers, collectors, press and any other contacts they would like to see the exhibition. ​Hard copies can also be picked up at hand in.

15. The SWA reserves the right to disqualify any work if the artist has failed to adhere to these Terms and Conditions and the relevant rules. Works previously exhibited with the SWA are not eligible for entry.

16. Care of Works - The Exhibition Administrators will not be liable for any damage or loss of works sent for exhibition occurring in the ordinary course of handling, whether such damage or loss is caused by the negligence of the Exhibition Administrators or their staff or otherwise. The Society of Women Artists strongly advises artists to insure their own works.

General Information
The exhibition will be held at D31 Art Gallery Scot lane (for in gallery selected artists only) 

13 Scot Lane, DN1 1EW

Doncaster, South Yorkshire.

Eligibility
Submissions of work are invited from visual artists working in any medium excluding videography/films

Restrictions
All entries must be no more than 1.5 meters in any one direction including frame

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / ~ # + =

Pricing
Work selected for exhibition will be expected to be for sale. Commission is charged by the gallery at 30%. It will be assumed that the sale price includes the cost of any frame and our commission of 30%. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered please provide a VAT number in the box provided. 

Communications
All communication will be by email. Successful applicants will be notified by email and must respond within  48 hours to confirm participation. Failure to do so could result in work being withdrawn From the exhibition. 

Selection
The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into.

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be displayed entirely at the artists' risk and organisers and the gallery will not accept liability for loss or damage occurring during the exhibition.

Delivery and Collection(physical exhibition)
Artists are responsible for the delivery and collection of their work at the Gallery. All packaging materials must be removed after delivery (no gallery storage is available for this) and brought back at collection. If you are applying from overseas please consider how you will get your work to and from the exhibition at the required times.
Work not collected at the stated times will be subject to a daily charge of £10 and will be disposed of after one month.

On agreement, we could package your work for you and make it ready for collection by your courrier at the cost of £30 per parcel. Please note that this does not include the cost of the courier. You will need to book a courier of your choice, let us know the pick up date and we will package your work. You will need to pay for the cost of shipping yourself. Your courrier must pick up your work from our gallery during gallery opening times of Wenesday to Saturday at 10am to 4pm. 

Online Selling
If 'Online Selling' is used and artworks are not delivered to the gallery, artists will be responsible for the safe delivery of artworks should an artwork be sold via the online gallery.
If a buyer makes a purchase via the online gallery the organisers will contact the artist and buyer to determine if there are additional postage and handling charges that need to be charged to the buyer.

Agreement

RULES AND GUIDELINES

Data Protection:

The contact details you provide as part of your submission will be shared with appropriate staff members of OESS/BANES/Victoria Art Gallery/ Bath Society of Artists and as needed by buyers, for the purposes of showing, selling and delivery of all listed and purchased works from the gallery. Your information will not be shared with any other parties other than those already mentioned. By submitting work, you are also accepting these conditions.

Entry Conditions:

• Submission is by online entry via OESS.
• Any UK artist over 18 (at the time of entry) may submit work.
• You can enter up to 2 works: One work - £15.00; Two works - £27.00.
• Young artists (aged 18 – 25 at time of entry) may submit up to 2 works at £5 per work.
• All work submitted will go through a two-stage selection process.
• Entries may include paintings, pastels, drawings, prints; mixed media, sculpture (but not photography, performance, or video). Digital prints and collaborative artworks maybe submitted (See Additional Information).
• Edition prints must be limited to maximum of 150.
• Exhibits must be original, the artist’s unaided work
• Work should not have been exhibited at any previous BSA Open Exhibitions.
• All works must be for sale for a minimum of £100, with the exception of unframed prints. There is no ceiling on sales prices.
• Prices must include the cost of the frame (where appropriate)
• The Gallery can sell framed prints hung in the gallery, but cannot offer for sale any additional framed prints, only unframed ones..
• Works should not be larger than 183cm (6ft) along the longest dimension, (including frame if appropriate).
• Commission rate is 43.5% (Bath Society of Artists is not VAT registered).
• Printmakers will be responsible for the cost of a tracked delivery service when sending unframed edition prints to the buyer, which should be reflected in the sales price.
• Photos of submitted work need to be in jpg, jpeg or png format, be no more than 5mb file size and should not include the frame.
• A video of 3D work can be uploaded to either YouTube or vimeo and a link provided on the entry form.
• All work such a diptychs and triptychs and complex/delicate 3D work may require special instructions for the hanging team (if selected) regarding layout to prevent errors or damage. This can be recorded on the entry form.
• Whatever you put on the entry form will also appear on your labels and in the catalogue, so please avoid using all capitals, unless essential.
• Also, please ensure your details are recorded accurately before confirming your application.
• Incomplete submissions will be deleted after 5.00pm on Friday 17th March, and you may lose your entry fee, so please be sure to finish your entry or contact the Secretary/OESS if you are experiencing any difficulties.

Delivery & Collection:

• For postal/courier/transport delivered works only, invited handing-in day work can be delivered to the Gallery during the period of 11th to 15th April 2023 (inclusive), as long as the gallery has received advanced notice of the estimated delivery date. Work will not be accepted outside of those dates, or without prior notification via victoria_enquiries@bathnes.gov.uk
• Couriers need to report to the Gallery’s accessible side entrance in Bridge Street. Parking on the opposite side of Bridge Street to the Gallery is for dropping off only. Vehicles left for ten minutes or more, without a disabled parking badge, run the risk of a parking ticket.Work submitted on handing in days must be completely dry, sale worthy and if hung, ready to be collected by a prospective buyer at the end of the show.

• Sculptures should be both stable and safe to exhibit and if heavy (please not heavier than two people can easily manage), be provided with some means of easy transition across the Gallery floor.
• Physical handing in days are Friday 14th April 2023 for members and Saturday 15th April for non-members.
• All works submitted must be correctly labelled. Labels may be downloaded from the artists’ online account.
• There should be no projections of any kind on the back of work, except for your attachment of mirror plates. Please be sure to put masking tape over the mirror plate screws before handing in your work.

• All 2D work accepted on handing in day must be fitted with mirror plates. Any work that cannot support the attachment of mirror plates, or another suitable fixture, may well be rejected.
• Whilst the Exhibition organisers will take every possible care of works in the Gallery, they cannot undertake any responsibility whatsoever for any loss of, or damage to, works entrusted to them.
• All artworks submitted are at the artist owner’s risk. Artists are therefore advised to insure their works against all risks. 
• Packaging from delivered works cannot be retained and must be taken away at the point of delivery.
• Artists who have one work hung and one declined will not be required to collect the declined work until the end of the show, thus saving unnecessary travel.
• Work to be couriered back to the artist after the show finishes, must be collected by the artists’ representative on either Sunday 25th or Monday 26th June. Artists will need to contact the gallery in advance, so staff have time to pack up the work. It will not be possible to negotiate around these dates, as the gallery will need to have all artworks removed by close of day on 26th June, otherwise a late collection fee of £30 will be applied from 27th June onwards. Fixings & Labels:

• Wall hanging works should be framed or stretched on a support suitable for the attachment of mirror plates, if selected.
• Metal frames or unframed glass will not be accepted.
• Perspex boxes for wall mounted works are acceptable if instructions for fixing is provided.
• If pre-selected and asked to deliver works to the gallery, there must be no protruding elements except for the Mirror plates.
• Labels may be printed from the artists online account.
• Labels must be firmly attached to the back of all 2D work, and another attached by string to hang 6in/15cm over the front from the top, with artists name, telephone number, email address, title, and price of work.
• For 3D work, it is important to fix a label to the base of your work. If it is not possible to use a large label with all of the information included above, then a clearly readable name and telephone number will suffice. In addition, a luggage type label with all the contact details, as above, tied onto string securely looped over the work would also be helpful. These stringed labels will be removed if the work is accepted into the gallery.

Selection:

• A first stage online selection will be carried out by a panel of BSA members and one guest artist
• Final 2D selection panel will be comprised of guests: Jen Gash, artist, coach and occupational therapist; Peter Slade, of Bradford Gallery; Nathalie Levi, Senior Curator of the Victoria Art Gallery; Millie Claxton Keys, winner of the 2022 Young Artists Prize; Plus BSA members: Oliver Bedeman, winner of 2022 Bath Artists Prize; Peter Davies, printmaker, author, and art critic; and Jenny Morse, one of BSA's newest members.
• Final 3D selection panel will be comprised of guest artist and sculptor, Lou Baker together with Iain Cotton, Richard Crooks, Guy Thomas, Maxine Foster and 2022 appointed BSA member, Victoria Atkinson.
• Please note that selectors' decisions are final, and we are unable to offer feedback.
• All works will be selected for the exhibition anonymously.

Notifications:

• Artists will be notified by email when results are available, and full details of artworks called for handing in days and/or work subsequently accepted for the exhibition will be shown in the artists personal OESS online account.
• Once the exhibition has opened all exhibiting artists will be allowed to enter the Victoria Art Gallery free of charge.

Sales & Payments:

• There will not be a facility to purchase artwork online via the Victoria Art Gallery website this year.
• If an entered work is sold during the call to artists period, then a replacement work maybe entered. However, no swaps will be accepted if a sale occurs after 17th March 2023 and before Tuesday 18th April. Equally, the entry fee will not be refundable during this period.
• Any private sale that occurs on or after 18th April will incur the normal commission rate and must be paid for via the Gallery. This condition applies until the close of the Exhibition.
• All sold artwork must remain in the gallery until the exhibition closes.
• Payments to artists, who sell their work during the exhibition, will be paid by the BSA once the appropriate BANES Council payment has cleared the BSA’s bank account (please allow up to three months).
• Where a collaborative work sells, payment in full will be made to the artist whose name is entered first on the online form.

Additional Information:

The copyright and all other intellectual property rights to works, will remain the property of the artist and any enquiries in relation to such rights will be referred to the artist. The Exhibition organisers have the right to copy and/or reproduce works submitted and to communicate and/or issue such copies to the public in connection with the exhibition, for advertising the sale of artworks, for general marketing or promotional purposes, and other related activities, including without limitation, the incorporation of images of artworks within promotional and marketing materials, catalogues, posters, or on Exhibition organisers websites and any social media site now known or hereafter devised.

Images:

• If taking a photo rather than using a professional photographer, take the photo in natural light (but not in direct sunlight – an overcast day is best if taking the photo outside) without using a flash and square on to the work. Ideally, use simple photo editing software to crop any background and frame. For three-dimensional work please take against a plain background or alternatively take a short video.
• The upload time of images may take a little time depending on your internet speed, so do give it time. If you are having problems uploading your images please resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as + = & “ ‘ etc.

Collaborative work:

• Collaborative artwork will be listed in the catalogue according to the surname of the first named artist.
• Each collaborative work submitted counts as one entry for each artist involved.
• A submission fee is payable for each collaborative work

Digital:

• Digitally generated works are admissible and may be presented in print form. We are not presently in a position to accept photography, performance, or video works.
• Editions of digitally generated prints are allowed in the same way as any other kind of print media eg lino, etching etc.  These prints should be executed using light fast archival pigment-based inks on high quality paper.
• Prints made with standard dye-based inks will not be accepted, because they fade very quickly.
• It must be stressed that we will not accept serial or singular reproductions of finished paintings, illustrations, or drawings. Specifically this refers to paintings, illustrations or drawings which have been photographed with the intention of selling an edition of reproductions of that original.
• Neither will it be acceptable to make a minor adjustment to an original painting, drawing or collage in order to enter it as a digital work.
• We acknowledge that any digital process requires a starting point and to this end, such works will inevitably contain elements of photography or scanned drawing, painting, or collage. The main emphasis of the work must be on the subsequent digital process in order for it not to be assessed as a reproduction of an original generated in other media. The only exception to this would be where an original work, sculpture, or painting, is photographed and the original is intentionally destroyed as part of a genuine creative process, such that the digital record is the only way in which the work exists. In this case, the individual work will be reviewed by the committee and each case considered on its own merits.
• Collaborative digital artworks may also be submitted under the same guidelines.
• The selectors’ decision in all regards will be final.

General Information
The exhibition will be held at The Ballinglen Museum of Art, Main Street, Ballycastle, Co Mayo from October 7th to January 10th 2024

Eligibility
Submissions of up to 3 works are invited from visual artists working in painting, drawing, print, sculpture, photography, and mixed media.

Submission Procedure
Submission is by online entry only. There is a link on our website to the call.

Guidelines for submitted works
All works must be professionally presented (needing no further work, additions or framing prior to exhibition). The entry form will include name of artist, date and place of birth and for each work, title, date, media, dimensions and selling price (as presented). The maximum dimensions of work accepted is 150X150cm (59x59"). The work must be created since 2017. It can have been exhibited previously.

Pricing
Work selected for exhibition must be for sale. Commission of 35% is charged by the Museum on sold works. It will be assumed that the provided 'sale price' includes the commission. Please allow for this when pricing your work. Ballinglen will not be liable for any loss arising from failure by a purchaser to complete a sale or the mis-marking of any piece sold. A non-refundable and non-transferable deposit of 20% will be required to secure a sale. Artists will be paid after the close of the exhibition when Ballinglen has been fully paid by the buyer.

Communications
Any questions regarding the open call can be asked by email (ballinglenarts@gmail.com) before the deadline. Applicants will NOT be contacted directly with the selection results. Applicants must login to OESS after 5pm on June 15th, 2023, to see if their work has been selected. The decision of the Selectors is final and no correspondence will be entered into regarding the selection of work for the exhibition.

Selection
The 3 Selectors will consider all correctly completed online submissions. The selectors and Ballinglen reserve the right not to consider work that it believes is in breach of copyright laws. 

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be transported entirely at the artists' risk. The Ballinglen Arts Foundation and Museum of Art will not accept liability for loss or damage occurring to the work during travel to or from the exhibition. Works are insured after delivery, unwrapping and when the condition is checked by Ballinglen.

Preparing work for delivery.

If selected, artists must download and print the detail sheet and label for each selected work. The label(s) must be attached to the back of the work; the detail sheet included with the work. Please ensure that the work(s) of art match the information given at the time to entry. All details and condition of works will be checked upon drop off/delivery.

Work must be professionally presented for exhibition, ie.framed or ready to hang with complete mechanisms for hanging. Exposed wet canvases, works that could cause damage to others or work that arrives damaged or unfit for exhibition due to any material defect will not be considered or exhibited.

Delivery and Collection
Selected artists are responsible for the delivery and collection of their work to and from the Museum including all postal/shipping costs associated. It is the artist’s responsibility to ensure that the work is correctly packaged as Ballinglen will not exhibit work damaged in transit.

If you are applying from overseas, please consider how you will get your work to the exhibition for September 15th and the associated costs of both sending and returning the work.

Note for work coming from outside the EU: Selected artists must ensure that the work reaches us before September 15th and is customs compliant. Ballinglen will not pay customs charges, duty or any associated charges on works arriving by courier/post. All work which is for sale will be liable for customs duty. Please talk with your shipper for details regarding customs and fees.

No work may be removed from the exhibition until after the close of the exhibition on January 10th 2024.

Unsold works must be collected between January 15-25th 2024. If you are unable to collect on these days, you may ask someone to collect on your behalf or make arrangements and a payment with us to post/ship your work. Works not collected by mid-February 2024 will be liable for a storage charge. Works not collected by end of February 2024 will be disposed of with no financial renumeration made by The Ballinglen Arts Foundation and Museum of Art.

Publicity
The artist allows Ballinglen to use images of any artwork for publicity and public engagement purposes. This includes television, print (newspapers, trade publications), website (Ballinglen and others), social media (Ballinglen and others) and any other method that Ballinglen deems fit for purpose.

Agreement

General Information
The exhibition will be held at Chelsea Old Town Hall, Kings Road, London SW3 5EE (work can be delivered to both the rear and front of the Town Hall) - followed by a two week online exhibition were work can continue to be sold. 

Eligibility
Submissions of work are invited from fine artists: Painters, Draughtsmen, Sculptors and Printmakers - no Digital, Video, Sound or Photography, Needlework, Beadwork, Pressed Flowers, Mosaic or Stained Glass is accepted. We can not accept giclee prints only originals. 

Restrictions
All entries must be less than 120cm in any one direction including frame. Only one larger work will be considered per artist - we suggest that the others should be smaller to be considered for hanging. 

All 2D work must be framed or on a stretched 4cm deep clean canvas.  No metal or clip frames or work that is still wet.

Badly presented work will not be accepted (this includes cleanliness and damaged/loose frames.)

• 2D work must  have D-Rings and picture cord/wire attached to the back of the picture, one third from the top.

*Sculpture must be stable or securely fixed to a base with nothing that can harm a viewer or administrator.* 

A tie on label will need to be filled in at drop off along with the OESS label attached to the reverse of all 2D and 3D work. Please print out 2 OESS forms.

ANY WORK POORLY FRAMED OR BADLY PRESENTED WILL BE REJECTED REGARDLESS OF QUALITY OF WORK SUBMITTED. 

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / \ ~ # + =

Pricing
Work selected for exhibition MUST be for sale. 

35% Commission for Non Members and Friends of CAS is charged by the Society.

30% for Artist Members of Chelsea Art Society is charged by the Society. 

The sale price must includes the cost of any frame, our commission and VAT. 

VAT and its administration is the artist's own responsibility. If a VAT receipt is required by the purchaser this is the responsibility of the Artist not the Society. 

Please allow for these points when pricing your work. Should you wish to change the submitted price, £10 will be charge for administration costs.

We may need to edit and correct details for the cataloguing process. This will be done to least minimise changes. The Society takes no responsibly for errors in our catalogue.

The OESS Online Exhibition lasts for two weeks after the show closes and artwork is still to be collected by the Artist on the 19th June 2023. Artwork sold during this period is still subject to the same commission. It is the Artist's responsibility to arrange delivery at their own cost, over and above the commission taken by the Society. All work must be sent by recorded delivery and you will only receive payment once the purchaser has received the artwork.

NB - It may take up to 1 month to receive your money for a sold art work once the show closes. It is your responsibility to supply CAS your bank details once you know your work has been sold. In this case, please email your name, account and sort code with the title of your artwork to:

It is NOT possible to make a refund of any entry payment on the OESS system. It is your responsibility to read the terms and conditions and understand your work fits the criteria.

Communications
All communication will be by email. Successful applicants will be notified by email. However, it is your responsibility to check the OESS website on 28th April, 2023. 

Second round of selection will be announced on Tuesday 13th in the morning - please visit OESS website for the answers.

Selection

THIS IS A TWO PHASE SELECTION PROCESS -

SECOND PHASE: SUCCESSFUL ENTRIES UNDERGO PHYSICAL JUDGING IN THE TOWN HALL AFTER DELIVERY ON 11TH JUNE, 2023

The decision of the Selectors on all matters is final and no correspondence will be entered into.
The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions.

Insurance
Artists are responsible for insuring their own work. All works, both displayed and unhung is submitted entirely at the artists' risk. Neither the Society nor the Gallery will accept liability for any loss or damage occurring during the exhibition.

Delivery and Collection
Artists are responsible for the delivery and collection of their work at Chelsea Old Town Hall.

Delivery - Sunday 11th June 10am - 3.30pm (please allow a minimum of 30minutes to deliver work, fill in labels and sign documents.) 

OESS labels must be attached to the back/base of the artwork. Two printed out forms must be presented at hand in.

Collection of hung work - Monday 19th - 3pm - 6.30pm

Collection of unhung work - 16th to 18th 11am - 5pm. No work can be collected pre 3pm on the 19th.

Packaging materials must be removed after delivery (no gallery storage is available for this) and brought back at collection. If you are applying from overseas please consider how you will get your work to and from the exhibition at the required times.
Work not collected at the stated times will be subject to a charge of £15 per week at Art Moves of Chelsea and will be disposed of after four weeks at artist's own cost. Art Moves of Chelsea - 02073527492

Agreement
By submitting to the exhibition you are deemed to accept and agree to the following:
The decision of the Society regarding the selection of works is final and no correspondence will be entered into.

The Society bears no liability for any loss or damage to submitted work as you the Artist are responsible for your own insurance 
The Society reserves the right to make such changes to the exhibition arrangements and these Terms & Conditions as the Society may deem necessary.
The Society may process, store and utilise the data in any submission and, if selected for exhibition, images of work submitted can be freely used by The Society and its sponsors for promotional and publicity purposes.

This is a two step project which combines live Auction with online exhibition.

The selected artists will be exhibited online and their work will be presented at international auction via Chalkwell auctions. 

LIVE AUCTION

The seleceted works will be presented on 16th May at our dedicated "Artists on the Rise" (AOTR) auction of contemporary investment art. 

The selected works will go live in the Chalkwell auctions catalogue pages approximately 2 weekends before the auction takes place.

Each work will be presented by the auctioneer one by one. If you are selected, a separate link will be sent to you for the auction so that you can submit your work in the required auction format.

ONLINE EXHIBITION

The selected works will be showcased on www.chinwerussell.com in an online exhibition.

The Exhibition opens approximately 2 days after the auction and will run for 3-4 weeks. 

ENTRY FEES

Entry fees are not refundable under any circumstances. 

All entries must have artwork description, Artist statement and bio. 

AUCTION TERMS

All works submitted to us must be original and must be your own creation or that of the artist you represent.

All works submitted for auction must be available for sale on the day of the auction so make sure that this is the case before you submit.

The auction catalogue will be published in advance of the auction day, once the catalogue goes live, you cannot withdraw your work. This is because it costs time and money to prepare the catalogue. If there is any reason why you must withdraw your work, please let us know ahead of time before the auction catalogue is published.

Each artist would be featured on social media to announce their participation and the sold works will be featured on social media again after the auction has taken place.

RESERVE PRICE : Artists determine their own reserve price but we encourage you to be realistic, bearing in mind that buyers are looking for affordable art. Buyers at this auction are looking for work below the market price, so bear that in mind when you set your reserve price.

IMAGE: Your work will be sold on image alone therefore we need good quality images in jpeg. To give your work the best chance of being sold, ensure that the full image of the work is visible including any frame.

During the auction, all works will be presented one by one by the auctioneer, this happens very fast! There is no time during the auction to contact artists to see if they want to accept a bid or not. This is why you should price your work to sell.  

​

If your work sells, the auctioneer will collect the payment + shipping cost from the buyer and the buyer's address is released to you.

​

You are expected to arrange shipping of the works as soon as you receive the shipping address. If it will take longer to arrange shipping, please contact me to discuss. You will ensure that you use adequate protective packaging when shipping your work. You will also need to use a tracked shipping service.

The Buyer pays the shipping cost.

PAYMENT TO YOU

We will receive payment(price of work+shipping cost) for all works 4-6 weeks after the auction has taken place and we will pay to your bank account/paypal less commission (and transfer fees for artists outside the UK.)

Commission is charged at 30% of the sale value. There is auctioneer’s discretion of 10% to help maximize sales. (This means that if your reserve price is £100 for example and the final bid on your work is £90, the auctioneer will accept that bid.)

Once the auction ends, there is NO POSSIBILITY of chasing after bids that did not meet your reserve price as it will be too late. This is why it is important to price to sell.

AUCTION RESULTS.

During the auction, it may appear as if your work has sold. This may not be the case as some sales do not conclude! We will let you know the FINAL  results of the auction a day or two after it has taken place.

Please ensure that the image of your work is high quality and in jpeg format. If your work is framed, then your image should clearly show this if possible. Submission does not mean that your work will be accepted for auction. If your work is accepted for auction, then it will appear in the auction catalogue once it has been uploaded.

Restrictions
All entries must be show the full artwork so that the buyers can see the finishing of the work. You should also show the back of the artwork so that the buyer will have a clear idea of what the work looks like.

Pricing
Work selected for exhibition will be expected to be for sale. Commission is charged by the gallery 30%. It will be assumed that the sale price includes the cost of any frame and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered please provide a VAT number in the box provided. 

Communications
All communication will be by email prefarably.  

Selection
The curator will select the works for the exhibition and auction. The curator will consider all correctly completed submissions. The decision of the curator on all matters is final.

Online Selling
Artists will be responsible for the safe delivery of artworks should an artwork be sold via the online gallery.

Agreement
By submitting to the exhibition you are deemed to accept and agree to the following:

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be displayed entirely at the artists' risk and organisers and the gallery will not accept liability for loss or damage occurring during the exhibition.

Delivery and Collection(physical exhibition)
Artists are responsible for the delivery and collection of their work at the Gallery. All packaging materials must be removed after delivery (no gallery storage is available for this) and brought back at collection. If you are applying from overseas please consider how you will get your work to and from the exhibition at the required times.
Work not collected at the stated times will be subject to a daily charge of £10 and will be disposed of after one month.

On agreement, we could package your work for you and make it ready for collection by your courrier at the cost of £30 per parcel. Please note that this does not include the cost of the courier. You will need to book a courier of your choice, let us know the pick up date and we will package your work. You will need to pay for the cost of shipping yourself. Your courrier must pick up your work from our gallery during gallery opening times of Wenesday to Saturday at 10am to 4pm. 

Online Selling
If 'Online Selling' is used and artworks are not delivered to the gallery, artists will be responsible for the safe delivery of artworks should an artwork be sold via the online gallery.
If a buyer makes a purchase via the online gallery the organisers will contact the artist and buyer to determine if there are additional postage and handling charges that need to be charged to the buyer.

General Information

The first Scottish Landscape Awards exhibition will be held at City Art Centre, Edinburgh from 4 November 2023 to 3 March 2024, occupying two floors of the gallery.

Submission Procedure

Submission is by online entry through OESS only. Artists interested in submitting installations or virtual reality works are strongly advised to seek prequalification from the Scottish Arts Trust. Contact the Coordinator, Sara Cameron McBean at sara@scottishartstrust.org

Selection process

The judges will initially review all entries individually and make their own choices for the exhibition. These works, reviewed digitally are regarded as pre-selected. 

The judges will then meet to discuss all pre-selected entries. This is also a digital process through which the judges will make final selection for the exhibition.

There is no in-person process for exhibition selection. The selection of prizewinners however only happens after the exhibition has been hung.

Prizes

Prizewinners will be announced during the Scottish Landscape Awards Preview on Friday 3 November. All artists with works in the exhibition will be invited to attend.

£10,000 – First Prize – The Lapeca Scottish Landscape Award. For works in any medium.

£5,000 – Second Prize – Donated by the Robert Haldane Smith Foundation. For works in any medium.

£1,000 – Third Prize – Donated by the Scottish Arts Trust. For works in any medium.

£5,000 – The City of Edinburgh Award – Donated by the City of Edinburgh works in any medium depicting the Edinburgh landscape. The winning work will become part of the City of Edinburgh collection.

£3,000 – The Scottish Landscape Award for Environmental Art – Donated by the Cruden Foundation. For works in any medium.

£1,000 – Young Landscape Artist (16-25 years) – Donated by Irene Adams OBE. For works in any medium.

£1,000 – The Scottish Landscape Photography Award – Donated by the Friends of the City Art Centre and Edinburgh Museums. For works produced using any photographic process.

Eligibility

Open to anyone over 16 years on 1 November 2023, and born, living or studying in Scotland. 

Work may be submitted by an individual artist, by a collective or a collaboration of artists as long as all are over 16 years on 1 November 2023 and born, living or studying in Scotland.

To qualify for the Young Landscape Artist award, the artist or all artists in the collective or collaboration must be under 25 years on 1 November 2023.

Entry Fees

The entry fee is £10 for each artwork entered. If artists wish to modify an artwork after entering they should submit the new artowrk and will need to pay an additional entry fee.

Free entry

Free entry is available for artists living in Scotland in a household where anyone is receiving any form of income support or universal credit. The final image uploaded by the artist should provide documentary evidence of such support.

Charities that wish to submit free entries on behalf of artists supported by their organization may do so by submitting the charity's contact information and registered charity number. The charity number replaces the documentary evidence required for individuals seeking free entry.

A separate entry form will be required for each artist represented by the charity. The charity will enter on the application form a ficticious email address for each artist they represent, that will take the form of: firstnamelastname@oess.uk. This will be used purely for identification purposes, it is not a functional email. The charity's own email address and phone numbers will be used if ithe Scottish Arts Trust need to contact the artist.

Medium 

Submissions of work are invited from creative practitioners working in any medium in 2D and 3D formats, film and animation, installations etc. Examples include, but are not limited to, painting, drawing, printmaking, sculpture, animation, textiles, jewellery, photography, installation, video, performance, audio/sound, multi-media and virtual reality landscapes – and more. 

Under 'Artwork Description', artists should indicate the medium of the work and where relevant should outline the creative processes used. 

Restrictions

The 'Artwork Description' should be restricted to information about medium and creation process for the work. It should not include information on content or who was involved in its creation.

• 2D works (any medium) should be no larger than 200 x 250 cm (framed dimensions). Artwork images should be jpegs and no larger than 5mb.
• 3D works (any medium) should be no larger than 200 x 200 x 90 cm. For complex works, artists may need to be available to advise on installation. Artwork images should be jpegs and no larger than 5mb.
• Film / Video / Animation: Guideline is up to 30 minutes but longer works will be accepted. Submit with Vimeo or YouTube link.
• Installation/Virtual Reality: Works may occupy up to 25 square metres. Larger installation pieces will be considered.  Proposals may include jpeg or PDF files and/or link to Vimeo or YouTube films. Please note the gallery has limited capacity for hanging materials from the ceiling. Artists are responsible for installing the work and need to supply all equipment used.
• Performance and Participatory: The gallery does not have a dedicated performance space. We are nevertheless interested in receiving proposals from performance artists. Please contact the coordinator Sara Cameron McBean – sara@scottishartstrust.org with a proposal which may include jpeg, PDF files, MP3 files (none larger than 5mb) and/or link to Vimeo or YouTube film or sound platform.
• Cabinet pieces: (any medium). Cabinet submissions should be no larger than 30 cm on the longest side and no taller than 5 cm. Artwork images may be jpeg or png and no larger than 5mb.
• Audio/ Sound-Scapes: MP3 files may be 30 seconds to 5 minutes and may be submitted via a link to SoundCloud or other audio platform. Please note that artists must be available to manage installation.
• Date: Work must have been completed after January 2018.

Previous exhibition

Works that have been previously exhibited in a major public or leading commercial gallery in Scotland should not be entered. All other exhibitions within Scotland and in major galleries outside Scotland are accepted.

Work may also be submitted that has been previously released through electronic/social media/YouTube/Vimeo or through a website. 

Pricing

Works may be for sale or not for sale. 

The OESS entry form by default asks you to enter a value that includes the gallery commission. We were unable to change this question so please ignore it. Enter the value you expect before commission. We will come back to all selected artists to check the sale price of their work.

Artists submitting work from overseas will not be permitted to sell their work through the gallery.

For insurance purposes all works, including those that are not for sale, must have a value assigned. Artists selected for the exhibition will be asked to supply this value. 

Sale of work online will be managed through the Scottish Arts Trust website. www.scottishartstrust.org

Communications

Most communication will be by email or via the online login process. Applicants will be contacted directly by phone or email by a member of the Scottish Arts Trust team to inform them of their selection for the exhibition. Artists will also be able to login to OESS to see if they have been selected. Artists whom the Scottish Arts Trust team are unable to contact directly may have their work withdrawn from the exhibition.

Selection

The Judges will select the works for the exhibition. The Judges will consider all correctly completed submissions. The decision of the Judges on all matters is final and no correspondence will be entered into.

Selection of certain works may be made with conditions and suggestions by the curatorial committee and may require a site visit and/or further discussion. If this is the case, the Scottish Arts Trust will contact the artist directly.

Insurance

The City Art Centre will insure work while it is on City of Edinburgh Council premises for the amount agreed. Artists selected for the exhibition will be asked to provide the value of their work and must provide this information three weeks before the work enters the gallery building. The City Art Centre reserves the right to query an insurance value if it seems inappropriate.

The City Art Centre undertakes a condition check of every work upon delivery. Artists will be notified immediately in the event of any damage to the loan. Dusting and light cleaning will be carried out as appropriate, but repairs, restoration or extensive cleaning of the loan will not be undertaken without the prior written permission of the lender. Works are checked again at the end of the exhibition.

Presentation, framing, plinths

• Standard: The artist must ensure a high standard of presentation of works. Works with wet paint will not be accepted; the artist is liable for the cost of any damage caused to other works by such items.
• Hanging: 2D works should ideally be fitted with mirror plates fixed at the centre point of the frame of each side of the work. Anything heavy or over 1m square, should ideally have an additional mirror plate in the middle of the bottom edge. Plates may be turned in for delivery. Works fitted with D rings will also be accepted.
• Plinths: Artists should provide their own floor-standing plinths or display equipment at the time of delivery. Plinths should be labelled with the artists name and phone number.
• Equipment: All display equipment must arrive in good condition and ready for use. No painting is permitted within the gallery. Any specialist display and hanging mechanisms must be clearly outlined in the submission proposal and any extra costs incurred should be covered by the artist. Artists must supply their own electronic equipment if needed at the point of delivery. All electronic equipment must be in good working order and PAT-tested prior to handing in. All equipment must be labelled with the artist’s name and contact number.

The gallery will provide screening equipment for standard film, videos and animation that do not form part of an installation piece.

Promotion

All works selected for exhibition may be photographed by the Scottish Arts Trust and used by the Trust and the City Art Centre to promote the work of the Trust and the Scottish Landscape Awards. Works featured in the exhibition may be photographed by the public for non-commercial purposes.

Scottish Landscape Awards Show: Artist Films

All artists selected for the exhibition will be invited to submit a short film (up to 2 mins) about their work and practice as an artist. All the films will be combined and released on YouTube. Paticipation in the Artist Films project is optional. Past experience shows that the Artist Films series by the Scottish Arts Trust reaches large audiences within and outside the UK.

Delivery and Collection

Artists are responsible for the delivery and collection of their work at the City Art Centre, Edinburgh on the agreed dates. All packaging materials must be removed after delivery (no gallery storage is available for this) and brought back at collection. 

Works cannot be removed until the end of the exhibition. Access to collect works cannot be arranged outside the prescribed dates. Any costs incurred in storing uncollected work will be passed on to the artist. The Scottish Arts Trust and the City Art Centre have the right to dispose of work that is not collected or when storage costs are not met. Artists are responsible for arranging the collection of their own work if delivered by a carrier. Artists applying from overseas, must consider how they will get their work to and from the exhibition at the required times.

Artists sending work from outside the UK are responsible for any customs and duty charges, declarations and other related documentation for the artwork both entering and leaving the UK, and for ensuring that work is received at the gallery by the specified time. The Scottish Arts Trust and the City Art Centre are unable to pay import duty or related fees on any submitted work.

In accordance with the Data Protection Act 2018, the Scottish Arts Trust and the Museums & Galleries Edinburgh will use the information given by entrants for Scottish Landscape Awards purposes only.

By agreeing to the terms of the Scottish Landscape Awards, you consent for us to process the information you have given. It will not be shared with any other party.
