Terms and Conditions

• All entries must be submitted through OESS by the stated deadlines
• Only works that have been pre-selected via the online submission process will be accepted on the hand-in day.
• All selected works must be for sale.
• There are no restrictions on size, discipline or media.
• Non-members will be charged £15 per submission and can submit up to five works.
• Unless part of a diptych/triptych etc, each artwork must have its own submission. Multiple works submitted on one submission will not be considered.
• There is no entry charge for any VAS members.
• A One-Off £15 Hang Fee, is charged per artist for both Members and Non Members that are exhibited at Dalkeith. Payment must be made by Tuesday 13th August 2024 at 6pm.
• Please ensure all artwork details are correct – titles, prices etc. submitted at this stage will be used for labels, the exhibition catalogue, and online.
• Image files should be JPG or PNG and no more than 3MB large. If you are having problems uploading your images please use image-editing software to resize your image to approximately 1600 pixels wide and then save as a new file.
• Save your image files with your name and the title of your artwork as the file name, eg example.jpg.  Do not include any extra characters such as ‘ ” & % * ( ) < > / ~ # + =

Restrictions

Work that has been shown in the Dalkeith Palace previously or shown in VAS RSA Then or Now (2024) Exhibitions should not be submitted.

No reproductions or copies of any kind will be accepted.

All pre-selected works need to be delivered to and collected from the gallery by the artist or a nominated representative or courier. VAS is unable to assist with the shipping and collection of your work.

Selection

Pre-selection results will be via log in to your OESS profile on date stated in open call, we do not email results out to you. We will remind you to check in via newsletter and social media. We regret that we cannot offer feedback on the results of the selection.

Pre-Selected Works

Works that pass the online pre-selection process must be delivered to the gallery by the date stated in the open call details on the assumption the piece will be shown in the exhibition..

All works that are pre-selected online are still subject to final selection by the panel on delivery to the gallery. This assement is to ensure that the work is exhibition ready, and is neither damaged or not reflective of what was submitted. In the unlikely event that their are works  not included in the final selection should be uplifted from Dalkeith galleries on the date detailed in your notification email. If you have to come from afar, we can arrange storage for smaller works until the end of the exhibition. 

You may be required to install your own work depending on the scale. You will be contacted in advance if this is the case.

Work selected for the exhibition will be subject to £15 admin fee per artist (one payment per artist regardless of number of selected works). This must be paid by bank transfer or payment link we will not take cash or paypal.

All wall works should come ready to be hung upon the traditionally gallery chains avaliable. 

Delivery and Collection of Work

Please attach a stiff label to the back of your work with string. This label must be able to hang freely over the front of the work and should include your name, title of artwork, price and a contact phone number and email address.

Please also attach a permanent label to your work with name, title, price and a contact phone number.

We can recommend couriers if you do not have your own contracts. Please email development@visualartsscotland.org for advice on this matter. 

Artists sending work from outside the UK are responsible for any customs and duty charges, declarations and other related documentation for the artwork both entering and leaving the UK, and for ensuring that work is received at the gallery by the specified time. VAS is unable to pay import duty or related fees on any submitted work or arrange delivery back to you, this will be entirely the artists’ responsibility. The work must arrive no later than Monday 12th August 5pm at the latest.

Please download your labels and attach them to your work following the instructions, and bring a copy of your submission form to the gallery.

Sales and Commission

Artist, Associate Members and non-members will be charged a commission of 40% on the sale price of all work sold in the exhibition.

VAS Professional Members will be charged a reduced commission rate of 30% on the sale price of all work sold in the exhibition.

Insurance

Whilst every possible care will be taken of works submitted, VAS cannot be responsible for any loss or damage incurred during the exhibition or in transit to and from it. The Society does not insure the exhibits; artists are advised to insure their own work.

Framing and Finishing

Please ensure a high standard of presentation of works. Any framing should be professionally finished and contemporary.

Works with wet paint will not be accepted; the artist is liable for the cost of any damage caused to other works by such items.

The artist is liable for the cost of any damage caused to other works by protruding hooks and fixings. Mirror plates for hanging are provided by VAS.

Plinth and Display Equipment

Artists must provide their own floor-standing plinths or display equipment at the time of delivery - VAS does not have any plinths or display solutions. 

Photography

Photographic reproduction of all works submitted and use of images for promotion or marketing purposes by the VAS is allowed by the Artist unless otherwise indicated.

Agreement
By submitting to the exhibition you are deemed to accept and agree to the following:

The decision of the Selectors on all matters is final and no correspondence will be entered into.
I understand that the organisers reserve the right to make such changes to the exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.

I authorise the organisers to process, store, and utilise the data in my submission and agree that, if selected for exhibition, images of my work can be freely used by The Organisers, The Gallery and associated organisations for promotional and publicity purposes.

General Information
Our Annual Printmaking Competition highlights wide range of printmaking techniques, honoring excellence in contemporary and traditional practices.

There are three stages to the application process:

1. Submit your application to the OLIST Site.
2. Successful applicants will be chosen and included in a 10-week virtual and physical exhibition at our beautiful Art Gallery, located in the Ironbridge UNESCO World Heritage site.
3. Prize Winners will be announced at the exhibition opening evening held on the 7th September.

• Printmakers must reside in the United Kingdom
• Submissions must be one of the following Printmaking methods:

          Intaglio: Drypoints and all types of etchings including: Aquatints on copper, zinc, steel, and aluminum 

          Mezzotint

          Photo-Etching: Solar plate, Dry Film, Photogravure, Photo Emulsion

          Collagraphs: Collage, card cut-out, carborundum, and Tetra-pack.

          Relief Plates: Lino, woodcut, woodblock, multi-plate, and reductions.

          Monotypes and Monoprints

          Mokulito

          Viscosity Printing

          Letterpress

          Gelli Plate Printing

          Cyanotype

Pricing
Work selected for exhibition will be expected to be for sale. 40% Commission is charged by the gallery. It will be assumed that the sale price includes the cost of any frame and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered, please provide a VAT number in the box provided. 
 

Communications
All communication will be by email or via the online login process. Applicants will be required to log in to the OLIST after the 12th July 2024 to see if they have been selected for the Exhibition and will be asked to download and print their application details to be delivered with the artwork. Failure to do so could result in work being withdrawn from the exhibition. 
 

Selection
The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into. 
 

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be displayed entirely at the artists' risk and organisers and the gallery will not accept liability for loss or damage occurring during the exhibition, storage, or transit.

Delivery and Collection:

• Artists are responsible for delivering and collecting their work from the Gallery.
• All packaging materials must be removed after delivery, as no gallery storage is available. These materials must be brought back for collection.

Using an Overnight Courier:

• Ironbridge Fine Arts can accept artwork deliveries via overnight courier service such as Royal Mail, DHL, FedEx, Mail Chimp, Parcel Hero, APC etc.
• Ironbridge Fine Arts will unpack the items upon arrival; however, packaging cannot be kept.
• If your artwork is not sold during the exhibition, Ironbridge Fine Arts can package the item for a fee of £12. You will need to arrange your own courier for collection.
• Alternatively, Ironbridge Fine Arts can package and deliver your artwork to a UK address for a total cost of £26.

Important:

• Artwork not collected at the stated times will incur a daily charge of £10.
• Any uncollected work will be disposed of after one week.

Labels
Artists must download a completed application form and completed labels from OList Login to attach to their selected artworks when delivering artworks

Can the application be completed by a 3rd party?
Applications can be completed by a third party however you must have the artist's permission and the Artist must still be alive.

Does a Tryptic/diptych count as a single entry? 
Yes, diptych and triptychs can be entered as a single entry. For the image of the work submitted please ensure this shows the full piece not just a single part. If work is selected for exhibition/competition finalist then please provide a diagram along with the artwork showing the hanging order for our curation team.

Are Giclee Prints of Fine Art Reproductions accepted?
All work must be the Original work and not a Fine Art Reproduction, Giclee Prints, or Photographs.

Helpful Hints for Photographing Your Artwork.

• We highly recommend having your work scanned to create a high-resolution digital file for entering the competition.

If photographing your artwork: 

• Photos can be taken framed or unframed however photos are best taken prior to any glazing to avoid reflection
• Avoid harsh and bright lights that wash the workout or cause shadows and distort the image. Natural daylight works the best; try placing your work next to an open doorway
• Always photograph the work straight on and in perspective such as standing above the work and looking squarely at the work. Do not submit images of work with a distorted perspective as this does not give a clear or true representation of the work.
• Use a tripod with your camera to stabilise the image and avoid movement/blurring of the image.
• Do not manipulate or edit the photos – If work is digitally enhanced it is not a true representation of your work. If it is apparent that work has been manipulated digitally compared to viewing the original Artwork it may be refused from the biennale and entrance fees will not be refunded.

What type of file can be uploaded and what size should it be?

The image uploaded must be either a JPEG file or PNG and must be between 1 and 4 MB

Is there a maximum Artwork size and does this include the frame?

The maximum Artwork size accepted is 70cm x 70cm (including the frame). The image dimensions entered in your application must be the final frame size including Height, Width, and Depth.

Will the work be shown online as well as in the physical exhibition?

All successful work will be shown online in a virtual exhibition as well as the physical exhibition. 

Can extra or alternative work be handed in for the exhibition?

No only work that has been submitted and successfully accepted can be given for the exhibition, we cannot take any alternatives or additional pieces.

Framing Stipulations

The work must be framed to a minimum of Level 2 Conservation level using a minimum Level 2 conservation level materials and processes – to find a Fine Art Trade Guild-approved framer you can visit https://www.fineart.co.uk . Frames must be free from bits under glass, blemishes, dinks or marks. Framing fixtures must be D-rings and cord, strap hangers, or Mirror plates. The gallery curators can change these fittings so they are fit for purpose and you may not get the original fittings back.

**Royal Ulster Academy of Arts**   
43rd RUA Annual Exhibition - Call for Entries 2024** 

### Overview 
Founded in 1879, the Royal Ulster Academy of Arts (RUA) is Northern Ireland's largest and longest-established body of practicing visual artists. One of its founding principles was to hold an annual exhibition featuring works from both members and non-members of merit. Now in its 143rd year, this event remains a highlight of the Northern Irish arts calendar. The 143rd Annual Exhibition will be held at the Ulster Museum, Belfast, from 18th October 2024 to 6th January 2025. 

### Eligibility 
- Open to visual artists working in all mediums: painting, drawing, original prints, photography, video, textiles, ceramics, sculpture. 
- Artists must be over 18 years old. 
- Work must have been created between 2022 and 2024. 
- Work previously exhibited in Northern Ireland will not be accepted. 
- The RUA reserves the right to reject work believed to be in breach of copyright.

Submissions of work are invited from visual artists working/resident on the island of Ireland in any of the mediums as previously stated.

Restrictions
Please note works which do not conform to the size restrictions, overly heavy pieces or pieces that the Organisers deem unsuitable for exhibition may face possible rejection. 

Work must be professionally presented for exhibition. All artworks must be presented with complete mechanisms for hanging. 

Exposed wet canvases or works that could cause damage to others will not be accepted under any circumstances. Work that arrives damaged or unfit for exhibition due to any material defect will be automatically deemed ineligible for exhibition.

Maximum size 100 cm x 120 cm. 
 

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. • Young artists may submit up to 2 works at £5 per work – please be sure to provide your date of birth, where applicable.

Terms and Conditions:

Submissions:

• Any UK artist may submit work.
• Entries may include paintings, pastels, drawings, editioned prints; mixed media, sculpture (but not photography, performance, or video). Digital prints and collaborative artworks maybe submitted (See Additional Information).
• Edition prints must be limited to maximum of 150.
• Exhibits must be original, the artist’s unaided work.
• Work should not have been exhibited at any previous BSA Open Exhibitions.
• All works must be for sale for a minimum of £100, except for unframed prints. There is no ceiling on sales prices.
• Prices must include the cost of the frame (where appropriate).
• The Gallery can only sell framed prints hung in the gallery, so cannot offer any additional framed prints for sale, only unframed ones.
• Works should not be larger than 183cm (6ft) along the longest dimension, (including frame if appropriate).
• Commission rate is 45% (Bath Society of Artists is not VAT registered).
• Printmakers will be responsible for the cost of a tracked delivery service when sending unframed edition prints to the buyer, which should be reflected in the sales price.
• Photos of submitted work need to be in jpg, jpeg or png format, be no more than 5mb file size and should not include the frame.
• A video of 3D work can be uploaded to either YouTube or vimeo and a link provided on the entry form.
• All work such a diptychs and triptychs, and complex/delicate 3D work may require special instructions for the hanging team (if selected) regarding layout to prevent errors or damage. This can be recorded on the entry form.
• Whatever is on the entry form will also appear on your labels and the catalogue (if selected), so please avoid using all capitals, unless essential.
• Please ensure your details are recorded accurately before confirming your application. If you decide to withdraw before the submission closes, then contact the Secretary who will arrange a refund.
• Incomplete submissions will be deleted after 5.00pm on 28th August 2024, so be sure to finish your entry or contact the Secretary/OESS if you are experiencing any difficulties.
• Refunds will not be permitted beyond the submission deadline.

Collaborative work:

• Collaborative artwork will be listed in the catalogue according to the surname of the first named artist.
• Each collaborative work submitted counts as one entry for each artist involved.
• A submission fee is payable for each collaborative work

Selection:

• First stage online selection will be carried out by a panel of BSA members.
• Final stage 2D Selection panellists: Guest selectors Lucy Austin RWA and Bryony Cox of White Chalk Gallery, Devizes, together with Katharine Wall, Curator of the Victoria Art Gallery, Malcolm Ashman RWA RBA PBSA and BSA members, Hilary Paynter, Patrick Hallissey, David Cobley, Sarah Godsill and Alex Nash.
• Final stage 3D Selection panellists: Guest selector Clare Day and BSA members Iain Cotton, Stephen Daniels, Olivia Clifton-Bligh and Holly Bennett.
• All works will be selected for the exhibition anonymously.
• Once the selectors have made their decisions it is the artists’ responsibility to log back into OESS and check their results.
• The decision of Selectors on all matters is final and no correspondence will be entered into.

Notifications:

• Full details of artworks called for handing in days and/or work subsequently accepted for the exhibition, will be shown in the artists personal OESS online account.
• Once the exhibition in the Gallery has formally opened, all exhibiting artists will be allowed to enter the Victoria Art Gallery free of charge.

Fixings & Labels:

• There should be no projections of any kind on the back of work, except for the attachment of mirror plates.
• All 2D work accepted on handing in day must be fitted with mirror plates. Any work that cannot support the attachment of mirror plates, or another suitable fixture, maybe rejected. Wall hanging works should be framed or stretched on a support suitable for the attachment of mirror plates, if selected.
• Please be sure to put masking tape over the mirror plate screws before handing in your work.

• Metal frames or unframed glass will not be accepted.
• Perspex boxes for wall mounted works are acceptable if instructions for fixing is provided.
• All works submitted must be correctly labelled - you can print out your labels by going into your account/What Next/Print Labels/ Download PDF/ and Print.
• Labels must be firmly attached to the back of all 2D work, and another attached by string to hang 6in/15cm over the front from the top, with artists name, telephone number, email address, title, and price of work.
• For 3D work, it is important to fix a label to the base of your work. If it is not possible to use a large label with all the information included above, then a clearly readable name and telephone number will suffice. In addition, a luggage type label with all the contact details, as above, tied onto string securely looped over the work would also be helpful. These stringed labels will be removed if the work is accepted into the gallery.

Delivery & Collection:

• Invited handing-in day work can be posted/couriered/hand delivered to the Gallery on either 4th or 5th October 2024. Work will not be accepted outside of those dates.
• Couriers need to report to the Gallery’s accessible side entrance in Bridge Street. Parking on the opposite side of Bridge Street to the Gallery is for dropping off only. Vehicles left for ten minutes or more, without a disabled parking badge, run the risk of a parking ticket.
• Work submitted on handing in days must be completely dry, sale worthy and if hung, ready to be collected by a prospective buyer at the end of the show.

• Sculptures should be both stable and safe to exhibit and if heavy (please not heavier than two people can easily manage), be provided with some means of easy transition across the Gallery floor.
• Physical handing in days are Friday 4th October for members and couriers and Saturday 5th October for non-members.
• Packaging from delivered works cannot be retained and must be taken away at the point of delivery.
• Artists who have one work hung and one declined will not be required to collect the declined work until the end of the show, thus saving unnecessary travel.
• Work to be couriered back to the artist must be collected by the artists’ representative on either of the handing back dates. Artists will need to contact the gallery in advance, so staff have time to pack up the work. Insurance:

• Whilst the Exhibition organisers will take every possible care of works in the Gallery, they cannot undertake any responsibility whatsoever for any loss of, or damage to, works entrusted to them.
• All artworks submitted are at the artist owner’s risk. Artists are therefore advised to insure their works against all risks. 

Sales & Payments:

• There will not be a facility to purchase artwork online via the Victoria Art Gallery website this year.
• If an entered work is sold during the call to artists period, then a replacement work maybe entered. However, no swaps will be accepted if a sale occurs after 5.00pm on 28th August 2024. Equally, the entry fee will not be refundable after submissions have closed.
• Any private sale that occurs on or after selection day (and the notification of acceptance to hang) will incur the normal commission rate and must be paid for via the Gallery. This condition applies until the close of the Exhibition. In this situation, no substitution can be accepted.
• All sold artwork must remain in the gallery until the exhibition closes.
• Payments to artists, who sell their work during the exhibition, will be paid by the BSA once the appropriate BANES Council payment has cleared the BSA’s bank account (please allow up to three months).
• Where a collaborative work sells, payment in full will be made to the artist whose name is entered first on the online form.

Data Protection:

The contact details you provide as part of your submission will be shared with appropriate staff members of OESS/BANES/Victoria Art Gallery/ Bath Society of Artists and as needed by buyers, for the purposes of showing, selling and delivery of all listed and purchased works from the gallery. Your information will not be shared with any other parties other than those already mentioned. By submitting work, you are also accepting these conditions.

Copyright/Intellectual property:

The copyright and all other intellectual property rights to works, will remain the property of the artist and any enquiries in relation to such rights will be referred to the artist. The Exhibition organisers have the right to copy and/or reproduce works submitted and to communicate and/or issue such copies to the public in connection with the exhibition, for advertising the sale of artworks, for general marketing or promotional purposes, and other related activities, including without limitation, the incorporation of images of artworks within promotional and marketing materials, catalogues, posters, or on Exhibition organisers websites and any social media site now known or hereafter devised.

Images:

• If taking a photo rather than using a professional photographer, take the photo in natural light (but not in direct sunlight – an overcast day is best if taking the photo outside) without using a flash and square on to the work. Ideally, use simple photo editing software to crop any background and frame. For three-dimensional work please take against a plain background or alternatively take a short video.
• The upload time of images may take a little time depending on your internet speed, so do give it time. If you are having problems uploading your images please resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as + = & “ ‘ etc.

Digital:

• Digitally generated works are admissible and may be presented in print form. We are not able to accept photography, performance, or video works.
• Editions of digitally generated prints are allowed in the same way as any other kind of print media eg lino, etching etc.  These prints should be executed using light fast archival pigment-based inks on high quality paper.
• Prints made with standard dye-based inks will not be accepted, because they fade very quickly.
• It must be stressed that we will not accept serial or singular reproductions of finished paintings, illustrations, or drawings. Specifically this refers to paintings, illustrations or drawings which have been photographed with the intention of selling an edition of reproductions of that original.
• Neither will it be acceptable to make a minor adjustment to an original painting, drawing or collage in order to enter it as a digital work.
• We acknowledge that any digital process requires a starting point and to this end, such works will inevitably contain elements of photography or scanned drawing, painting, or collage. The main emphasis of the work must be on the subsequent digital process for it not to be assessed as a reproduction of an original generated in other media. The only exception to this would be where an original work, sculpture, or painting, is photographed and the original is intentionally destroyed as part of a genuine creative process, such that the digital record is the only way in which the work exists. In this case, the individual work will be reviewed by the committee and each case considered on its own merits.
• Collaborative digital artworks may also be submitted under the same guidelines.
• The selectors’ decision in all regards will be final.

General Information
The South West Academy of Fine and Applied Arts invite submissions of work from visual and applied artists working in any medium. Please see restrictions listed under Exhibition Details. Submission is by online entry only. You can enter up to 6 works. The Selection panel may select up to a maximum of 4 works per artist. The exhibition will be held at the home of The South West Academy -  Kennaway House, Coburg Road, Sidmouth, Devon. EX10 8NG

Submission Procedure
Submission is by online entry only. Please click on the link from our website at www.southwestacademy.org.uk and follow the instructions.

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / \ ~ # + =

Restrictions.
All work should be clearly labelled with the artists’ name, title of work and selling price attached to a label on string attached to the rear of the work. Metal and clip frames are not acceptable. Work which is deemed as sharp or dangerous will not be exhibited. All 2D work should have exhibition quality cord securely attached to D rings on the back for hanging.

Artwork should be no more than 100cm in any direction for 2D work excluding textiles where 200cms long is accepted.

Artwork Types

• 2D work with a maximum size 1 metre in any direction including frame. Work beyond this size will not be exhibited. All work should be ready to hang with D-rings and cord attached.
• Sculpture not exceeding 1 metre square floor space or 2 metres in height. Works must be portable and structurally sound. Works must not be so fragile or unstable that they cannot be safely moved and displayed.
• Ceramics.  Small collections of work in a series (up to 3 pieces) will count as one item. Ceramics should be delivered in a suitable container and boxes should be provided for items sold.
• Jewellery. Small collections of work in a series (up to 3 items) will count as one item. Jewellery should be delivered in a suitable container and boxes should be provided for items sold.
• Glass. Small collections of work in a series (up to 3 items) will count as one item. Glass should be delivered in a suitable container and boxes should be provided for sold items.
• Textiles. Works should not be wider than 100 cms wide and 200 cms long, be supplied with relevant means by which they can be securely attached to a wall. The TOP should be clearly marked.

Pricing
All work selected for exhibition will be expected to be for sale. SWAc commission is charged at 40%. It will be assumed that the sale price includes the cost of any frame and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered, please provide a VAT number in the box provided. Minimum sales price, excluding editions of prints, £200 per work.

Communications
All communication will be by email or posted on-line.  Applicants will be required to login to see if they have been selected and will be asked to download and print their application details to be delivered with the artwork. Please log in after 12 noon on Tuesday 8th  October 2024 to check the selection outcome. Failure to do so could result in work being withdrawn from the exhibition.  Please make a note of your login-details and password.

Selection
The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into. All work preselected on-line will be entered directly into the exhibition as there is no final selection.

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be displayed entirely at the artists' risk and SWAc and Kennaway House will not accept liability for loss or damage occurring during the exhibition, storage or transit.

Delivery and Collection
Artists are responsible for the delivery and collection of their work to Kennaway House. All packaging materials must be removed after delivery (no storage is available for this) and brought back at collection. If you are applying from overseas, please consider how you will get your work to and from the exhibition at the required times.
Work not collected at the stated times will be subject to a daily charge of £10 after the first day any work not uplifted after a week becomes the property of SWAc and may be disposed of as they seem fit including by way of sale. The administration of The Academy is not able to manage the return of artwork and it is the artists responsibility to collect during the specified period of time or to arrange and pay for a courier to collect on their behalf. The Academy will do its best to repack artwork for couriers but cannot guarantee this service or to be open during all courier operating hours. It is the artist’s responsibility to notify The Academy of collection  arrangements.

Framing
All 2D work should be framed and ready to hang with D rings and suitable cord attached. Box frames of not less than 3.5 cms in depth are acceptable. Metal and clip frames are not acceptable. Any work which is unframed, badly framed or arriving late may be excluded from the exhibition on the discretion of the selectors.

Labels.
Artists should attach a label with string to the reverse of 2D work or front of 3D work with name, title and exhibition sale price. This label should be attached such that the string will hang over the front of 2D work but not hang below once the label and string is placed behind the work.

Agreement
By submitting to the exhibition you are deemed to accept and agree to the following:
The decision of the Selectors on all matters is final, including exhibition layout and no correspondence will be entered into.
I understand that SWAc reserves the right to make such changes to the exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.
I authorise SWAc to process, store, and utilise the data in my submission and agree that, if selected for exhibition, images of my work can be freely used by SWAc and associated organisations for exhibition promotional and publicity purposes.

The exhibition will be held at the Custom House, Quayside, Exeter.  Arrangements to be notified.

Eligibility
Submissions of work are invited from visual artists working in any medium except digitally manipulated photographs (there is another award for photography, see NHS website). If submitting prints, these should be traditionally hand-worked, i.e. not digital (Giclee) reproductions.

Restrictions
The original work should not exceed 80cm longest dimension, to include the frame if any.

Entering
The information you give is kept on the OESS electronic record system and is accessible only to authorized staff. Personal data is held alongside the relevant images for copyright and acknowledgement purposes.

There is an entry fee of £10 for each work submitted. This will be collected online when you make your entry.

By entering a work into this competition, you will be confirming that:

-  it was produced in the last three years

-  it is your original work

- it does not infringe the copyright or other rights of any third party

JUNIOR CATEGORY

There will be a special prize for young artists in the age group 11 – 16. The entry fee for each work submitted will be £5. This will be collected online when you make your entry. 

Selection
The work will be judged by a panel including from National Historic Ships Hannah Cunliffe. Members of The Royal Society of Marine Artists John Scott Martin and David Curtis. John Killens from the Wapping Group of Artists; and David Johnson an art and design education professional. The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into.

Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be displayed entirely at the artists' risk and organizers and the gallery will not accept liability for loss or damage occurring during the exhibition.

If a buyer makes a purchase via the online gallery the organizers will contact the artist and buyer to determine if there are additional postage and handling charges that need to be charged to the buyer.

Reproduction Rights and Copyright
For each work you enter in the Competition you will be asked to grant the RSMA and NHS-UK a non-exclusive, worldwide, royalty-free license to use for two years, and publicly display your work solely in connection with the Competition or linked promotional material including RSMA and NHS-UK websites and without any further notice or remuneration to you. Your entry asks you to provide your name in the format you wish to be used in any acknowledgements.

If your work is selected, we reserve the right to reproduce it for commercial purposes including, but not limited to, calendars, promotional flyers and on social media, by doing so you agree to give the RSMA and NHS-UK a non-exclusive, worldwide, royalty free licence to use, copy, modify, translate and / or adapt, distribute and publicly display your work.

*The prizes must be taken as stated and cannot be deferred. There will be no cash alternatives to the prizes. Any prize remaining unclaimed six months after the closing date of the Competition will be declared void.

Governing Law
Valid wherever legal, the rules of this competition are subject to English law and the parties to any dispute or action shall submit to the exclusive jurisdiction of the English courts.

Eligibility

Any artist aged 18 or over may enter, from anywhere in the world. 

Artists may enter a maximum of six works each, from which up to three works per artist may be selected. 

The combined total of the longest dimension of each painting accepted will not exceed 8 feet maximum per artist.

Artists must submit work that has been completed within the last three years and must not have been previously exhibited at Mall Galleries. 

Works should be no larger than 2.4m along the longest dimension. 

All works must be an original creation by the artist.

Subject matter:

Artists may submit work on any subject matter. 

There is a special theme each year, which can be interpreted widely. For 2024, artists are encouraged to contribute a work on the theme 'EAT' - however it is not compulsory. If a work is on the theme, please say so in the artwork description box when applying. 

Acceptable media: 

Oils. The ROI promotes and exhibits work of the highest standard in oil paint.

Water-soluble oil paint is acceptable if framed as an oil, so as not to spoil the general appearance of the exhibition.

Acrylic is no longer accepted.

Submission Fee

There is a non-refundable submission fee of £20 per work, or £14 per work for artists aged 35 or under. 

The submission fee includes free admission to the exhibition (normally £5). 

Presentation

Artists are encouraged to frame their work. Unframed work may be accepted if on a well-presented box canvas. 

Wide mounts between the painting and frame, as in watercolours, are not acceptable. 

Picture glass is not encouraged.

Frames or stretchers should be sufficiently substantial to withstand mirror plating with 12mm (size 6) screws.

Artists are advised to use plain, simple framing in a light or medium colour. 

Metal frames, unprotected glass edges and clip frames are inadmissible. 

Please remove all fittings and fixings from the back of frames, for example D-rings and picture wire. This is to prevent damage to other works, and because we will mirror-plate works for hanging. 

Delivery & Collection

Works should be delivered and collected on the specified receiving and collection days via the gallery's rear entrance at Mall Galleries, 17 Carlton House Terrace, London SW1Y 5BD. 

If you are unable to deliver or collect your work, you may send another person on your behalf – this may include an art courier (see below).

Artists are responsible for the costs of delivery and collection.

Delivery:

Paintings should be completely dry at the time of delivery. 

Works should be delivered unwrapped with the relevant form and labels, which are downloadable upon notification of selection.

All packaging must be taken away at the point of delivery. 

Collection:

We are unable to wrap works or provide wrapping for works being returned. 

Any uncollected works will be removed from the gallery after the collection day and stored by an independent courier company at the artist's expense. 

If works are not collected within 12 months of the collection day, the gallery will be entitled to destroy, sell, or otherwise dispose of the works without consent, prior notification, or compensation to the artist.

Selection

The works for exhibition are selected by a committee formed of members of the Institute. 

If selected works arrive damaged, with unacceptable framing, size discrepancies from the original submission, or not as shown online, these will be withdrawn and work will need to be collected from Mall Galleries by the artist at their expense.

The decision of the Selection Committee is final and we are unable to offer feedback.

Prize winning works are selected in time for the awards ceremony during the Private View, prior to the exhibition opening to the public.

Sales

All work must be for sale, except portraits.

Once work has been submitted, any sale made by the gallery before or during the course of the exhibition up to and including the collection day shall take precedence and supersede one made privately. Any private sale made in this period will incur the normal commission. 

There is a minimum price per work of £500.

Unless otherwise advised, the gallery will charge a commission on the total price paid for works, including commissioned works, before, during, or as a result of the exhibition. 

The price submitted should be the selling price, which should include commission, and is the price at which the work will be sold.

The price of works must include commission of 45% +VAT. If an artist is registered for VAT, then the VAT due on the selling price of works should be included in the price submitted. 

Mall Galleries reserves the right to query the price of works. 

The price of works may only be changed by written agreement between the artist and Mall Galleries. 

You will be notified by Mall Galleries if your work sells. 

International Artists:

Artists who are not resident in the UK but are resident in the EU or elsewhere are welcome to submit work. If your work is selected for the exhibition, you have a responsibility to register and account for UK VAT with H.M. Revenue & Customs. 

Artists without a UK residence, known as 'NETPs' (non-established taxable persons) can find further details on 'NETP' status and how to register for VAT at www.hmrc.gov.uk (HM Revenues & Customs Reference: Notice 700/1, Mar 2014) under the heading 'Should I be registered for VAT?'

Personal Data

The gallery will hold personal data in accordance with the General Data Protection Regulation (GDPR). However, the gallery may provide third parties with an artist's contact details in the course of administering exhibitions, commissions and prizes.

The gallery has the right to reproduce works in connection with the exhibition. 

The copyright and all other intellectual property rights will remain with the artist. If any rights are owned by a third party, that third party will remain the owner. 

By submitting your contact details, you agree to be contacted about similar activities, such as artist opportunities and open calls organised by Mall Galleries / Federation of British Artists. 

Liability

The gallery is not responsible for any loss of, or any damage to, works entrusted to them. All goods are at the artist owner's risk absolutely and the gallery and/or their agents exclude all liability to the maximum extent permitted by law. The galleries are used for various purposes and so artists are advised to insure their works against all risks. 

The gallery endeavours to take good care of works sent for exhibition, but in the event of a work sent being lost, destroyed or damaged, the gallery's liability (if any) shall not exceed the value of the work as stated at the time of submission (less 45% plus VAT) or any altered price subsequently. 

In the event of any dispute regarding loss or damage, the dispute shall be referred for final arbitration to an independent expert valuer to be chosen by agreement between the parties, provided that the arbitrator's award shall not exceed the gallery's maximum liability as above. 

Artists shall indemnify and keep indemnified the gallery against any actions between the artist and any third party.
