TERMS AND CONDITIONS relating to the submission of works of art to the
2024 SUMMER EXHIBITION of the CHELSEA ART SOCIETY
The Summer Exhibition of the Chelsea Art Society ("CAS") will be held at Chelsea Old Town Hall, Kings Road, London SW3 5EE between Wednesday 12th June and Monday 17th June 2024.
Eligibility
Submissions of work are invited from fine artists, including painters, draughtsmen, sculptors and printmakers - no digital, video, sound, photography, needlework, beadwork, pressed flowers, mosaic or stained glass works will be accepted. We only accept original prints. We do not accept giclee or use of AI, nor digitised images that are not original to yourself.
RESTRICTION
All entries must be less than 120cm in any one direction including the frame.
All 2D work must be CLEANLY framed or on a stretched 4cm deep canvas.
No metal or clip frames will be accepted.
No work that is still wet will be accepted.
2D work must have D-Rings and picture cord/wire attached to the back of the picture, one third from the top.
Sculpture must be stable or securely fixed to a base with nothing that can harm a viewer or administrator.
Sculptures must be able to be carried in and out of the exhibition with ease and must not cause any damage to the floors or walls.
The lift is for disabled access only.
ANY WORK POORLY FRAMED OR BADLY PRESENTED WILL BE REJECTED REGARDLESS OF QUALITY OF WORK SUBMITTED.
UNDER 35YRS - It is your responsibly to let the member of staff know you are eligible for the under 35yrs prize.
Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / \ ~ # + =
Pricing and payment
All work selected for exhibition MUST be for sale, and the sale price must be stated.
35% commission for Non-Members and Friends of CAS is charged by CAS.
30% commission for Artist Members of CAS is charged by CAS.
The sale price must include the cost of any frame, our commission and VAT.
VAT and its administration is the artist's own responsibility. If a VAT receipt is required by the purchaser this is the responsibility of the Artist, not CAS.
Please allow for these points when pricing your work.
Should you wish to change the submitted price or details, £10 will be charged for administration costs.
We will need to edit and correct details for the cataloguing process. CAS takes no responsibility for errors in our catalogue or the necessary edits. We encourage short titles. No post-nominals are included in our catalogue, other than "CAS".
We do not have the capacity to inform artists if their work has been sold. Therefore you must come to Chelsea Old Town Hall on collection day regardless.
If your work sells, it may take up to 1 month to receive your money once the exhibition has closed. It is your responsibility to supply CAS with your bank details once you know your work has been sold. An email will be sent to you requesting your bank details.

Selection
THERE WILL BE A TWO PHASE SELECTION PROCESS :-
FIRST PHASE : PRESELECTION ONLINE. RESULTS WILL BE ANNOUNCED 3RD MAY 2024 from NOON onwards.
SECOND PHASE : ENTRIES which have been preselected UNDERGO PHYSICAL JUDGING IN THE TOWN HALL AFTER DELIVERY ON 9TH JUNE, 2024.
It is your responsibility to check on the OESS platform as to whether your work has been finally selected.
The decision of the Selectors on all matters is final and no correspondence will be entered into.
The Selectors will consider only correctly completed submissions.
Insurance
Artists are responsible for insuring their own work. All works, both displayed and unhung, are submitted entirely at the artists' risk. Neither CAS nor the Venue will accept liability for any loss, theft or damage occurring during the exhibition.
Delivery and Collection
Artists are responsible for the delivery and collection of their work at Chelsea Old Town Hall. Works can be delivered to either the front or the rear of the building.
We do not deal with courier services or removal of packaging. The only delivery company we deal with is ART MOVES OF CHELSEA (telephone 020 7352 7492). This is not a last minute service so please forward plan your delivery with them. Art Moves of Chelsea offer this service but it is at their discretion if they choose not to provide a delivery service in any particular case.
Delivery - Sunday 9th June, 10am-3.30pm. Please allow a minimum of 30 minutes to deliver work, to fill in labels and sign documents.
OESS labels must be attached to the back/base of the artwork. Two print-outs of the OESS form must be presented at hand in.
Collection of hung work - Monday 17th June, 3pm-6.00pm
Collection of unhung work - 12th to 16th June,11am-4.30pm.
No work can be collected before 3pm on the 17th June.
If the buyer of a work does not collect it within one month following the end of the exhibition, the work will be returned to the artist who should make the necessary arrangements for collection with the buyer.
Packaging materials must be removed after delivery (no gallery storage is available for this) and brought back at collection. If you are applying from overseas, please consider how you will get your work to and from the exhibition at the required times. We do not deal with couriers.
Work not collected at the stated times will be subject to a charge of £15 plus £15 per week thereafter at Art Moves of Chelsea, and will be disposed of after four weeks at artist's own cost.
Additional Terms
By submitting your work to the exhibition you are deemed to accept and agree to the following:
CAS bears no liability for any loss or damage to submitted work as you the Artist are responsible for your own insurance.
CAS reserves the right to make such changes to the exhibition arrangements and to these Terms & Conditions as it may deem necessary.
CAS may process, store and utilise the data in any submission, and images of work selected for exhibition can be freely used by CAS and its sponsors for promotional and publicity purposes.
All information provided by you must be true and accurate, and the work submitted must be wholly of your own creation.
Any claim or complaint by a third party arising from any material submitted by the artist in relation to the subject matter of the artwork or the artist's personal details will be referred to the artist who will indemnify CAS in respect of any such claim or complaint.
By submitting this application you confirm that you have read and understood these terms and conditions, and that you accept them and agree to observe them.
This agreement contains all the terms and conditions relating to the submission of artwork for the exhibition. Any oral statement shall not be binding upon CAS.

General Information
The exhibition will be held online between 01 June and 30 June 2024.
Eligibility
Submissions of work are invited from visual botanical artists working in any two or three-dimensional artwork except for photography and giclee printing (or similar).
The work must have been completed within the past two years and must not have been shown previously at an SBA exhibition.
All work must be original and not copied. However, work copied from a photograph will be allowed provided the photographer is credited and permission has been given by the photographer to use the image as reference.
Submission Procedure
Submission is by online entry only. The maximum number of entries per artist is three. Please click on the link from our website or email and follow the instructions.
Please note refunds will not be given in the event of work not being selected.
Measurements
You must provide the framed measurements of the work in centimetres.
Communications
All communication will be by email or via the online login process. Applicants will be required to login to the OESS site to see if their work has been selected.
Selection
The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into. Final inclusion in the exhibition is at the discretion of the exhibition organisers.
We are happy for you to submit work not for sale.
Guidance by the Selection Committee
Please submit high-resolution scans or very good photographs to show your work at its best, with each image at least 1MB. Good results can be obtained with tablets and mobile phones, but take care to ensure that there is sufficient light (especially when the background appears as grey on a photograph), that the image is in focus, there are no reflections through glass, or bad angles from work being propped up.
Poor-quality images will not be accepted.
Sales
The SBA will not be charging a commission on sold work. The artist will be solely responsible for postage and packing, VAT and Customs documents and any insurance. Please click here for guidelines to assist you with this.
Each artist will be responsible for the sale of their own work. To ensure that buyers can make contact with you please check that the email address on your OESS profile is up-to-date.

Women in Art Fair seeks the best in contemporary art, photography, textile and sculpture; all mediums.
Women in Art Fair is dedicated to creating opportunities for artists and galleries that not only readdresses the gender imbalance in the art industry but also support career development. WIAF is an inclusive and diverse global fair, from which women and those identifying as women, are given an opportunity to share in this developing community while contributing to an exchange of ideas around gender, and culture.
The exhibition in October 2024 offers artists the opportunity to have their work seen by thousands of visitors at Mall Galleries.

Work selected for exhibition will be expected to be for sale. 40% Commission is charged by the gallery. It will be assumed that the sale price includes the cost of any frame and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered, please provide a VAT number in the box provided.
Communications
All communication will be by email or via the online login process. Applicants will be required to log in to the OLIST after the 12th July 2024 to see if they have been selected for the Exhibition and will be asked to download and print their application details to be delivered with the artwork. Failure to do so could result in work being withdrawn from the exhibition.

Artists must download a completed application form and completed labels from OList Login to attach to their selected artworks when delivering artworks
Can the application be completed by a 3rd party?
Applications can be completed by a third party however you must have the artist's permission and the Artist must still be alive.
Does a Tryptic/diptych count as a single entry?
Yes, diptych and triptychs can be entered as a single entry. For the image of the work submitted please ensure this shows the full piece not just a single part. If work is selected for exhibition/competition finalist then please provide a diagram along with the artwork showing the hanging order for our curation team.
Are Giclee Prints of Fine Art Reproductions accepted?
All work must be the Original work and not a Fine Art Reproduction, Giclee Prints, or Photographs.

If photographing your artwork:
What type of file can be uploaded and what size should it be?
The image uploaded must be either a JPEG file or PNG and must be between 1 and 4 MB
Is there a maximum Artwork size and does this include the frame?
The maximum Artwork size accepted is 70cm x 70cm (including the frame). The image dimensions entered in your application must be the final frame size including Height, Width, and Depth.
Will the work be shown online as well as in the physical exhibition?
All successful work will be shown online in a virtual exhibition as well as the physical exhibition.
Can extra or alternative work be handed in for the exhibition?
No only work that has been submitted and successfully accepted can be given for the exhibition, we cannot take any alternatives or additional pieces.
Framing Stipulations
The work must be framed to a minimum of Level 2 Conservation level using a minimum Level 2 conservation level materials and processes – to find a Fine Art Trade Guild-approved framer you can visit https://www.fineart.co.uk . Frames must be free from bits under glass, blemishes, dinks or marks. Framing fixtures must be D-rings and cord, strap hangers, or Mirror plates. The gallery curators can change these fittings so they are fit for purpose and you may not get the original fittings back.

Call for Entries 2024
Founded in 1879, the Royal Ulster Academy of Arts is the largest and longest established body of practicing visual artists in Northern Ireland. One of its founding principles was to hold an annual exhibition of work by both members and non–members of merit. Now in its 143rd year, this event remains one of the highlights of the Northern Irish arts calendar. The 143rd Annual Exhibition will run at the Ulster Museum, Belfast from 18th October 2024 to 6th January 2025.
The Royal Ulster Academy welcomes submissions from emerging and established artists across the disciplines of the visual arts. Initial Submissions should be made online.

General Information
The exhibition will be held at Ulster Museum, Botanic Gardens, Stranmillis, Belfast from 18th October 2024 - 6th Jan 2025
Eligibility
Submissions of work are invited from visual artists working in all mediums.
Including : Painting, drawing, original prints, photography, video, textiles, ceramics, sculpture.
Anyone over the age of 18 can submit work. There is no maximum age limit.
Work entered to the exhibition must have been created between 2022 and 2024.
Work previously exhibited in Northern Ireland will not be accepted. The RUA reserves the right to reject work that they believe may be in breach of copyright.
Restrictions
All entries must be less than 2 meters in any one direction including frame. There is no minimum size limit. The maximum size of artwork in its largest dimension including framing is 200cm. The overall size of diptychs, triptychs, etc. must adhere to this maximum size limit. Sculptures outside these dimensions will be considered but may be restricted due to weight.
Hangings, Fixings & Attachments
The Ulster Museum has its own hanging system therefore ALL HANGINGS, FIXINGS AND ATTACHMENTS MUST BE REMOVED BEFORE DELIVERY OF SHORTLISTED WORK
Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / ~ # + =
Video
Submissions for single channel VIDEO works will be selected on behalf of the RUA by an esteemed panel made up of: Ulster Museum’s Curator of Art Anna Liesching, Dr. Angela Halliday, Director of the Digital Arts Studios – Belfast; and Peter Richards, Director of the Golden Thread Gallery
Selected works will be included in a looped showreel - installed in a dedicated video projection space within the exhibition.
As such we are only seeking submissions of SINGLE CHANNEL video works.
One video will be awarded the £500 RUA Video Art prize sponsored by WEX Photo/video and be installed in a projection room of its own for the duration of the exhibition.
With this in mind we would advise selecting works for submission no longer than 20 minutes in duration.
Please do not transfer files unless selected and requested to do so.
Your submission must include a link to your preferred URL for example your Website ,Vimeo or Youtube channel or alternative Account.
Do include a password (if the work is password protected) allowing the selectors to independently view your work .
Pricing
Work selected for exhibition must be for sale. 30% Commission is charged by the RUA. It will be assumed that the sale price includes the cost of any frame and our commission. Please allow for these points when pricing your work. Prices should include VAT if applicable. If you are VAT registered please provide a VAT number in the box provided. Minimum price of artwork is £200.
Selection
The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into.
Insurance
Artists are responsible for insuring their own work. All works accepted for exhibition will be displayed entirely at the artists' risk and organisers and the gallery will not accept liability for loss or damage occurring during the exhibition.
Delivery and Collection
Artists are responsible for the delivery and collection of their work at the Gallery.
All packaging materials must be removed after delivery and brought back at collection. If you are applying from overseas please consider how you will get your work to and from the exhibition at the required times.
Work not collected at the stated times will be liable for a storage charge.

SELECTION AND HAND IN
Pre-selection results: TBC
Artists must log back into their account on the submission site to find out if works have been pre-selected. A notification email will not be sent out and it is the artist's responsibility to log in and check on the day.
Hand in for pre-selected work: TBC Pre-selected works must be delivered to The Royal Ulster Academy, 2-3 Rosemary Street, Belfast BT11QA
Artists may not hand in different or substitute works to those that have been pre-selected.
Final selection notification: 12th August 2024
Artists must log into their account to find out if their work is included in the final hang the work.
No installed work, once placed, can be removed until the close of the exhibition without a special order from the RUA Council.
Incomplete applications will not be accepted. The RUA will not be responsible for any errors or omissions in the catalogue. The RUA will not be liable for any loss arising out of any error, omission or decision made by the committee. All information entered on your submission form will be used in the catalogue and online sales platform
Work not collected from the RUA on the designated days will be liable to a storage charge or disposed of.
The artist allows the RUA to use images of any artwork for publicity and public engagement purposes only.
